POSITION DESCRIPTION:
The Development Coordinator works across the Development Department, providing critical support in donor relations, grants administration, and day-to-day administrative duties. The position plays an important role in implementing strategies and activities that ensure Seva's financial sustainability and organizational growth. The ideal candidate will possess strong written and verbal communication skills, as well as outstanding problem-solving, analytical, time management, and organizational abilities.
KEY RESPONSIBILITIES:
Administrative Support
● Oversee administrative needs related to Donor Relations, including serving as a front-line responder to prospects’ and donors’ inquiries about Seva’s work, ways of giving, and other information about Seva.
● Process reports for electronic funds transfers (EFT) gift entries from Shopify, Fidelity, PayPal (approve grants when prompted), TLYCS, and other online donation portals.
● Moves Management: Track donor touchpoints and gift projections in Raiser’s Edge. Ensure that gifts are tracked with a high degree of timeliness (daily) and accuracy.
● Provide backup support to the Coordinator for Development Operations in the event of mail delivery issues when the Office Manager is out.
● File and organize copies of deposit batches in a timely manner. Assign sets of returned mail to be updated in donor records.
● Process donor acknowledgment letters and pledge reminders. Bundle acknowledgement letters for CEO and CPO to sign.
● Assist with maintaining the Development Procedures Document.
● Provide back-up prospect research when needed.
Gifts of Sight (GOS) daily operations
● Oversee and perform accurate and timely data entry of GOS donations (and general donations when needed); enter database updates and assist with spot checks to ensure data integrity.
● GOS High Season (October-January): Schedule GOS Temporary hires to ensure full staffing; manage daily operations and Temps’ workflow for data entry. Oversee timely submission of Temps' hours and Timesheets to Finance.
● Perform daily web downloads to ensure timely mailing of GOS cards and merchandise.
● Prepare gift batch finance reports.
● Oversee Merchandise order processing; alert Comms when inventory is low, manage staff merch requests for pickup or mail on their behalf, record these orders with Finance. Track Seva calendars mailed during the year; coordinate with Comms for future orders.
Donor Relations
● First responder to donor inquiries received by phone, email, or mail.
● Organize all donor calls and postcard mailings with the Board and volunteers for gifts between $250 and $1999, and for first-time donors $1k+.
● Assist the Development Manager with planning and execution of donor stewardship and fundraising events.
Grants Assistance
● Working with the Director of Grants and Leadership Gifts, help maintain a smooth and seamless grants proposal and reporting process and ensure timely submissions and on-time delivery of reports and updates to funders.
● Provide first review and editing of Program reports and proposals. Resolve all questions and inconsistencies identified in the report with Programs before submitting to the Director of Grants and Leadership Gifts for final approval.
● Assist with creating report and proposal templates, building and staging in SharePoint and Monday.
● Create, maintain, and update a glossary of standardized terminology and language used each FY for funder proposals, reports, and submissions.
● Track logins/passwords for all portals for grant submissions. Establish payment schedules for accepted grants and major gifts; create a Monday schedule to send reminders.
● When grant funds are received, oversee the process to notify members of Development and Programs.
Board of Directors
● Provide administrative and logistical support as requested.
● Maintain Board and committee roster and contact lists.

KEY QUALIFICATIONS:
● A minimum of the equivalent of three years of relevant, progressive work experience in development.
● Experience with CRM systems - Raisers’ Edge preferred, and an aptitude for digital development and email communications tools

● Superb administrative and computer skills, particularly in Microsoft Office, and familiarity with project management software

● This is a hybrid position requiring the ability to work at the Berkeley office 1-2 days/week
● Bachelor’s degree preferred.
- Develop compelling proposals and grant applications to secure funding from various sources, ensuring alignment with organizational goals.
- Manage email marketing campaigns using platforms like Constant Contact and Mailchimp to inform donors about organizational updates and fundraising opportunities.
- Conduct research on prospective donors, estate planning opportunities, and philanthropic trends to inform strategic outreach efforts.
- Oversee digital marketing initiatives across social media platforms and WordPress websites to enhance visibility and engagement.
- Assist in budgeting for fundraising events and campaigns, ensuring efficient allocation of resources.
- Collaborate with volunteers and internal teams to support fundraising activities, including volunteer management and event management.
- Prepare detailed reports on donor activity, campaign performance, and fundraising progress for leadership review.
Requirements
- Bachelor’s degree or equivalent experience in nonprofit management, marketing, communications, or related fields; university experience is preferred.
- Proven experience in relationship management, fundraising, or development roles within nonprofit organizations.
- Strong skills in event planning, proposal writing, grant proposal development, and digital marketing strategies.
- Proficiency with CRM software such as Salesforce or Raiser's Edge; familiarity with Mailchimp and Constant Contact is highly desirable.
- Knowledge of social media management tools including WordPress for website updates.
- Excellent research abilities combined with strategic planning skills to identify new funding opportunities.
- Experience with estate planning concepts such as wills, trusts, and estate law is a plus.
- Ability to negotiate effectively with diverse stakeholders while maintaining positive relationships.
- Competence in data collection, budgeting, and using databases for accurate record keeping.
- Strong communication skills suitable for public relations efforts and stakeholder engagement.
