Full Job Description

Job Summary

We are seeking a dynamic and highly organized Office Manager/Bookkeeper to join our team! This vital role combines administrative leadership with financial oversight, ensuring the smooth operation of daily office functions while maintaining accurate financial records. The ideal candidate will bring energy, efficiency, and a proactive approach to managing office workflows, supporting team members, and handling bookkeeping responsibilities. Responsibilities

Oversee daily office operations, payroll, billing draws, and general administrative tasks
Maintain accurate financial records using QuickBooks and other productivity software, including data entry, invoicing, and expense tracking
Coordinate appointments, meetings, and calendar management for staff and executives
Handle client communication with professionalism via phone, email, and in person, ensuring exceptional customer service and support
Manage filing systems, document proofreading, and ensure all clerical tasks are completed efficiently and accurately
Support office management activities such as supply ordering, facility maintenance coordination, and organization of office space
Assist with personal assistant duties as needed to support team members’ productivity and time managementRequirements
Logging inventory in the shop.
Proven experience in office management or administrative roles with strong organizational skills
Proficiency in QuickBooks for bookkeeping tasks and Microsoft Office Suite (Word, Excel, Outlook) for daily operations
Excellent computer literacy including data entry, spreadsheets creation, and word processing
Experience with multi-line phone systems and phone etiquette to handle customer inquiries professionally
Bilingual abilities are highly desirable to support diverse client interactions
Strong typing skills with attention to detail for proofreading and document accuracy
Demonstrated ability to manage time effectively while prioritizing multiple tasks in a fast-paced environment
Personal assistant or clerical experience preferred to support executive needs effectively
