Job Summary

We are seeking a dynamic and highly organized Office Administrative Assistant to join our team! In this vital role, you will be the backbone of daily operations, ensuring smooth office functions and exceptional support to staff, clients, and visitors. Duties

Manage front desk operations, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy
Perform data entry tasks accurately using spreadsheets, word processing, and productivity software such as Microsoft Office and Google Workspace
Maintain organized filing systems both digitally and physically, ensuring quick retrieval of documents and records
Schedule appointments, manage calendars, and coordinate meetings efficiently for staff and clients
Handle correspondence via email, phone communication, and written documents with clarity and professionalism
Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping
Support office management activities including supply inventory, equipment maintenance, and general administrative support

Skills

Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for document creation, spreadsheets, and communication
Strong computer literacy with excellent typing speed, proofreading skills, and technical proficiency in office productivity software
Experience with multi-line phone systems, phone etiquette, and customer service to ensure positive client interactions
Bilingual abilities are a plus for effective client communication in diverse environments
Demonstrated organizational skills with the ability to prioritize tasks efficiently using time management techniques
Previous clerical experience or office management background preferred; familiarity with medical or dental receptionist duties is advantageous
Knowledge of bookkeeping procedures using QuickBooks or similar software is desirable for handling financial transactions
