Full Job Description

Full-time Facilities Operations Lead

Reports to: Senior Director of Real Estate Management

Position Summary:

The Facilities Operations Lead is responsible for supervising and performing a wide range of facility maintenance and operational functions across assigned buildings and grounds. This hands-on leadership role oversees day-to-day maintenance activities including general repairs, custodial services, HVAC systems, basic electrical work, and preventive maintenance programs. The Facilities Operations Lead works alongside their team, providing direct guidance and ensuring work is completed safely, efficiently, and to established quality standards. This position reports to the Sr. Director of Real Estate Management. Customer service skills are key to succeeding in this role.

Essential Duties and Responsibilities:

Supervisory & Leadership

Supervise, schedule, and coordinate the daily activities of maintenance and custodial staff.
Assign and prioritize work orders, ensuring timely completion of routine and emergency requests.
Train, mentor, and evaluate team members on safety protocols, work procedures, and best practices.
Serve as the point of contact for facilities-related issues in the absence of senior management.
Maintain accurate records of work completed, materials used, and staff hours.
Monitor, respond to, or ensure coverage for after-hours and weekend emergency calls on a 24/7 basis.
Assist in maintaining exterior grounds as needed.
Assist in identifying project needs and securing qualified subcontractors.
Perform other duties as assigned.

Building Maintenance & Repairs

Perform and oversee general building repairs including carpentry, plumbing, painting, and masonry.
Inspect facilities regularly to identify maintenance needs and code compliance issues.
Respond promptly to emergency maintenance calls and resolve issues with minimal disruption.
Coordinate with outside contractors for specialized repairs and ensure work meets quality standards.

HVAC Systems

Operate, maintain, and perform routine service on heating, ventilation, and air conditioning systems.
Troubleshoot HVAC malfunctions and coordinate repairs with licensed technicians as needed.
Monitor building environmental controls and adjust settings to ensure occupant comfort and energy efficiency.
Maintain HVAC maintenance logs and ensure filter changes and inspections are completed on schedule.

Electrical (Basic)

Perform basic electrical tasks including replacing outlets, switches, breakers, ballasts, and light fixtures.
Identify and report electrical hazards or issues requiring licensed electrician involvement.
Ensure all electrical work complies with applicable safety codes and regulations.

Preventive Maintenance

Develop, implement, and manage a preventive maintenance schedule for all assigned facilities and equipment.
Conduct routine inspections of mechanical systems, roofing, plumbing, and structural components.
Maintain inventory of maintenance supplies and equipment; requisition materials as needed.
Document all preventive maintenance activities and update work order management systems.

Custodial & Cleaning Operations

Oversee and participate in cleaning and sanitation of buildings, restrooms, common areas, and grounds.
Ensure cleaning standards are met and proper products and procedures are used.
Monitor supply levels and coordinate replenishment of cleaning materials and equipment.
Serve as a primary point of contact for student, residential, and commercial tenants regarding facilities-related concerns, maintenance requests, and operational issues.

Customer Service Skills

Qualifications:

Required

High school diploma or GED; vocational/technical training in a related field preferred.
Minimum 3–5 years of experience in building maintenance, facilities operations, or a related trade.
Demonstrated experience with HVAC systems, general repairs, and basic electrical work.
Prior supervisory or lead experience in a facilities or maintenance environment.
Working knowledge of occupational health and safety regulations (OSHA standards).
Valid driver's license with a clean driving record.

Preferred

Associate degree or technical certification in facilities management, HVAC, or a related field.
EPA 608 Technician Certification (HVAC refrigerants).
Experience in a higher education, healthcare, or multi-building institutional environment.
Familiarity with computerized maintenance management systems (CMMS) or work order software.

Knowledge, Skills & Abilities:

Strong working knowledge of building systems including HVAC, plumbing, electrical, and structural components.
Ability to read and interpret blueprints, schematics, and technical manuals.
Effective leadership and communication skills with the ability to motivate and direct staff.
Strong problem-solving skills and ability to prioritize multiple tasks in a fast-paced environment.
Proficiency with basic computer applications for work order entry and record keeping.
Commitment to workplace safety and knowledge of applicable safety standards.

Physical Requirements:

This position requires frequent standing, walking, bending, kneeling, climbing ladders, and lifting up to 50 lbs. Work is performed both indoors and outdoors and may require working in confined spaces, at heights, or in varying weather conditions. Use of personal protective equipment (PPE) is required as appropriate.

Additional Requirements:

This position requires the use of personal vehicles and personal tools to perform assigned duties. This position is designated as a safety-sensitive role. It involves tasks that directly affect the safety of the employee and others, including but not limited to operating machinery, driving, and operating power equipment. Due to the inherent dangers, this position requires the highest level of alertness, adherence to strict safety protocols, and compliance with our drug-free workplace policy. Safety-sensitive employees are subject to pre-employment, random, and post-accident drug and alcohol testing. Consistent with the Pennsylvania Medical Marijuana Act (35 P.S. § 10231.510), the Company may take employment action in accordance with applicable law and Company policy if an employee is under the influence of medical marijuana or otherwise impaired while working.

Pay: $24.00 - $28.00 per hour
