MARKETING & ADMINISTRATIVE SYSTEMS COORDINATOR

Part-Time | Long-Term Position

West End Counseling & Wellness, LLC

West End Counseling & Wellness is a growing outpatient mental health practice seeking a creative, organized, and technically capable Marketing & Administrative Systems Coordinator.

This is a part-time position for someone interested in making a long-term commitment to our practice. The primary focus of the position will be marketing, website management, social media, advertising, and improving our administrative technology and systems. The person hired will also learn selected billing and administrative functions so they can provide backup support when needed.

We are particularly interested in someone who combines strong marketing and communication skills with excellent technology skills and enjoys finding ways to make systems work more efficiently.

PRIMARY RESPONSIBILITIES

Marketing, Website & Social Media

Help develop and implement marketing strategies to increase awareness of the practice and attract new clients.
Update and maintain the practice website, including adding and revising content, clinician profiles, service information, and other website materials.
Help improve website organization, appearance, usability, and search visibility.
Assist with search engine optimization (SEO) and monitor website performance.
Create and manage social media content and help maintain a consistent and professional online presence.
Develop and monitor online advertising campaigns, including Google and social media advertising.
Create digital marketing materials and graphics as needed.
Monitor marketing performance and help determine which advertising and referral sources are generating new client inquiries.
Track website traffic, inquiries, referral sources, and other marketing metrics and prepare easy-to-understand reports.

GOOGLE WORKSPACE, SYSTEMS & AUTOMATION

Create, modify, and maintain Google Forms and Google Sheets used for practice operations, intake tracking, marketing, and administrative workflows.
Build and improve Google Sheets using formulas, conditional formatting, data validation, dropdown menus, filters, linked sheets, and automated reporting.
Connect Google Forms with Google Sheets and organize form responses so information can be automatically sorted, tracked, summarized, and easily used by staff.
Create dashboards and reports that organize practice information and allow trends to be viewed over time.
Develop and troubleshoot automated workflows within Google Workspace.
Use Google Apps Script when appropriate to automate processes or improve the functionality of Google Forms and Google Sheets.
Identify repetitive administrative processes that could be simplified or automated and help develop solutions.
Troubleshoot existing Google Forms, Google Sheets, formulas, reports, and automated processes when they are not functioning correctly.
Help develop systems for tracking new client inquiries, referral sources, marketing results, website activity, and other practice metrics.
Document systems and processes so workflows can be maintained and understood by other staff members.

ADMINISTRATIVE & BILLING BACKUP

The person hired will also be trained in selected administrative and mental health billing functions so they can provide backup coverage when needed.

Responsibilities may include:

Learning basic insurance verification and billing workflows.
Assisting with claims, payments, and other billing-related tasks when backup coverage is needed.
Learning relevant practice management and insurance systems.
Assisting with other administrative projects and office systems as needed.

QUALIFICATIONS

We are looking for someone who is:

Highly comfortable with technology and able to learn new programs quickly.
Experienced with Google Sheets and Google Forms beyond basic data entry.
Comfortable creating formulas, organizing data, troubleshooting spreadsheets, and developing more efficient workflows.
Familiar with Google Apps Script or interested and capable of using scripting/automation tools to improve Google Workspace processes.
Experienced with website management, digital marketing, social media, or online advertising.
Creative and able to develop professional, engaging marketing content.
Detail-oriented and highly organized.
Able to work independently, identify problems, and propose solutions rather than waiting for step-by-step instructions.
Comfortable learning healthcare administrative and billing processes.
Able to maintain strict confidentiality and appropriately handle sensitive information.
Interested in developing a long-term role with the practice.

Experience working in healthcare, mental health, or another professional service organization is helpful but not required.

Experience with Wix, Google Workspace, Google Ads, social media marketing, SEO, Canva, or similar platforms is a plus.

Experience with Google Apps Script, spreadsheet automation, dashboards, or other workflow automation is a significant plus.

SCHEDULE

This is a part-time position. We are looking for someone who wants to become an ongoing, long-term member of our practice rather than someone seeking a short-term or temporary position.

The role may grow and evolve over time based on the employee's skills, interests, and the needs of the practice.
