Project & Estimating Coordinator – Custom Manufacturing

Location: Amityville, NY
Job Type: Full-time, on-site
Pay: $55,000–$70,000 per year, based on experience

About MG Concepts

MG Concepts is a well-established retail fixture and custom millwork manufacturer serving national and regional retailers. We produce store displays, custom cabinetry, casework, wall systems, shelving, and related specialty fixtures for retail environments throughout North America.

Our work is highly customized and requires close coordination between estimating, project management, engineering, purchasing, production, finishing, shipping, and installation.

Position Summary

MG Concepts is seeking a Project & Estimating Coordinator to support our estimating and project management teams in coordinating quotes, bid documents, project information, and internal follow-up for custom retail fixture and millwork projects.

This is a growth-oriented role for someone who is organized, analytical, detail-oriented, comfortable with numbers, and interested in learning how custom manufacturing projects are priced and managed.

Prior estimating, project coordination, construction, millwork, or manufacturing experience is helpful, but not required. We are willing to train the right person, but the role requires strong follow-through, accuracy, communication, and a genuine interest in learning a specialized business.

Responsibilities

Assist with organizing RFQs, bid packages, drawings, specifications, purchase orders, and related project documents.
Review project documents for basic scope, missing information, quantities, materials, and deadlines.
Help prepare takeoff summaries, pricing worksheets, quote backups, and internal estimating documents.
Track vendor quotes, material pricing, outside service pricing, freight information, and other cost inputs.
Follow up with vendors, suppliers, and internal departments to gather missing information.
Assist project managers and estimators with quote preparation, change-order documentation, and scope tracking.
Compare revised drawings or documents against prior versions and help identify changes.
Maintain organized project files, bid logs, quote folders, and tracking systems.
Update Monday.com, Excel worksheets, and other project tracking tools.
Communicate with project managers, engineering, purchasing, production, and logistics regarding open items and deadlines.
Learn the basics of custom millwork, retail fixtures, materials, hardware, production processes, freight, installation, and project execution.

Requirements

Strong organizational skills and attention to detail.
Comfortable working with numbers, spreadsheets, documents, and deadlines.
Strong written and verbal communication skills.
Ability to follow up consistently and keep open items moving.
Ability to manage multiple tasks and priorities in a fast-paced environment.
Strong working knowledge of Microsoft Excel, Outlook, and general computer systems.
Willingness to learn technical information related to drawings, materials, fabrication, and custom manufacturing.
Must be able to work full-time on-site in Amityville, NY.

Helpful Experience

Prior experience in estimating, project coordination, construction administration, purchasing, logistics, manufacturing, retail fixtures, millwork, cabinetry, architecture, interior design, or customer service.
Experience reading architectural drawings, shop drawings, floor plans, specifications, or construction documents.
Familiarity with custom manufacturing, cabinetry, woodworking, metal fabrication, acrylic fabrication, hardware, lighting, or store fixture programs.
Experience with Excel-based estimating, takeoffs, vendor quote tracking, or cost summaries.
Experience with Monday.com, ERP systems, or other project tracking tools.

About the Opportunity

This is not a generic administrative position. MG Concepts operates in a specialized custom manufacturing environment where estimates and projects must account for drawings, materials, labor, engineering, production, logistics, installation, and real-world field conditions.

The right candidate does not need to already be a senior estimator or project manager. We are looking for someone with the organization, accuracy, communication skills, and practical judgment to grow into a larger role over time.
