Job Title: Part-Time Office Administrator

Job Overview

JMS, an established masonry construction company, is seeking an organized, detail-oriented, and proactive Part-Time Office Administrator to join our team. This role is ideal for someone who thrives in a fast-paced construction environment and possesses the administrative skills to keep our office running smoothly.

The ideal candidate will have prior experience or strong foundational knowledge within the construction industry, allowing them to accurately handle industry-specific paperwork, client proposals, and financial tracking.

Primary Responsibilities

Calendar & Job Scheduling: Efficiently schedule construction jobs and coordinate project timelines on the company calendar.
Invoicing & Billing: Generate and send accurate invoices to clients, follow up on accounts receivable, and ensure payments are tracked properly.
Bill Pay & Expense Tracking: Manage accounts payable, verify vendor invoices against purchase orders or receipts, monitor and pay bills, schedule bills and materials, and process timely payments.
Receipt Management: Input and reconcile company receipts on a weekly basis to maintain accurate financial records.
Logistics & Vendor Coordination: Coordinate site logistics, including ordering job site essentials (like porta-potties) and dealing with vendors (such as dumpster deliveries and material drop-offs) to ensure seamless operations.
Insurance Oversight: Monitor company and project-specific insurance needs, ensuring tracking and fulfillment of all insurance requests.
Strategic Accounting Collaboration: Actively communicate with our accounting firm, serving as the dedicated internal accounting and Financial Planning & Analysis (FP&A) partner.
General Office Work: Maintain organized digital and physical filing systems, manage incoming correspondence (emails/calls), order office supplies, and provide general administrative support to management.

Qualifications & Skills

Industry Experience: Prior experience working within the construction, contracting, or trades industry is highly preferred. Knowledge of construction terminology and processes is a major plus.
Financial Literacy: Solid understanding of basic bookkeeping principles, invoicing, and accounts payable/receivable processes. Experience with accounting software (e.g., QuickBooks) is preferred.
Tech Savvy: Proficiency in Microsoft Office Suite (Word, Excel) or Google Workspace, with the ability to learn new project management or estimation software quickly.
Attention to Detail: High level of accuracy in data entry, document formatting, and numbers.
Communication: Strong written and verbal communication skills for professional interaction with clients, vendors, and field staff.

Schedule & Compensation

Hours: 20 hours per week (Flexible scheduling options available, e.g., 4 hours/day Monday–Friday, or 3 full days).
Pay Rate: [Insert Hourly Rate, e.g., $20 - $25/hour, depending on experience].

Pay: $20.00 - $25.00 per hour
