Job Summary

Administrative Assistant for Natural Grocery. Tasks and responsibilities include filing, payroll, banking, applicant screening and social media. Excellent oral and written communication skills and the ability to organize you work using tools, like MS Excel and office equipment. If you also have previous experience as an administrative assistant and familiarity within our industry, we’d like to meet you.

Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office. Strict confidentiality is a must.

Responsibilities and Duties

Answer and direct phone calls
Organize and schedule appointments
Plan meetings and take detailed minutes
Write and distribute email, correspondence memos, letters, faxes and forms
Assist in the preparation of regularly scheduled reports
Develop and maintain a filing system
Update and maintain office policies and procedures
Order office supplies and research new deals and suppliers
Maintain contact lists
Book travel arrangements
Submit and reconcile expense reports
Provide general support to staff and owners.
Act as the point of contact for both internal and external contacts
Liaise with owners and staff to handle requests and queries from managers
Prepare or maintain employment records related to events such as hiring, termination, leaves, transfers, or promotions using human resource management system software if applicable
Files papers and documents into appropriate employee files.
Tracks & conducts benefits enrollment for new employees.
Verifies I-9 documentation and maintains employee records.
Supports employees with the initial logging in of Time clock
Ensures employees are appropriately entered in the ECRS database for discounts.
Schedules & tracks introductory reviews and annual reviews.
Assists owners with various research projects and/or special projects.
Assists with recruitment and application review process.
Assists or prepares correspondence.
Prepares new employee files (personnel and medical).
Processes mail.
Follow up on references.
Performs other duties as assigned.

Qualifications and Skills

Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and fax machines
Proficiency in MS Office (MS Excel in particular)
Excellent time management skills and the ability to prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
High School degree; additional qualification as an Administrative assistant or Secretary will be a plus

Safety and security—the individual actively promotes and personally observes safety and security procedures, and uses equipment and materials properly.
