Full Job Description

Our busy orthopedic practice has proudly served Massachusetts' North Shore for over 50 years. With offices in Beverly, Danvers, and Gloucester, we are committed to delivering exceptional orthopedic care through a patient-centered approach focused on quality, efficiency, and outstanding customer service.We are seeking a friendly, organized, and detail-oriented Administrative Assistant to support our Physical and Occupational Therapy department. This part-time position plays an important role in ensuring patients receive timely therapy appointments and a seamless experience from referral through scheduling.The ideal candidate is an excellent communicator who enjoys working in a fast-paced healthcare environment. They are proactive, dependable, and able to manage multiple priorities while maintaining a high level of accuracy and professionalism.

Responsibilities

Manage incoming referrals for Physical and Occupational Therapy services.
Contact patients promptly to schedule therapy evaluations and follow-up appointments.
Coordinate scheduling with physicians, therapists, and office staff to ensure timely patient care.
Assist with obtaining, tracking, and following up on insurance authorizations for therapy services as needed.
Maintain accurate patient records and documentation within the electronic medical record (EMR).
Communicate professionally and courteously with patients, providers, insurance companies, and referring offices.
Monitor referral work queues to ensure timely scheduling and follow-up.
Answer incoming phone calls and respond to patient inquiries with excellent customer service.
Maintain HIPAA compliance and patient confidentiality at all times.
Assist with other administrative and clerical duties as assigned to support department operations.

Qualifications

Outstanding customer service and interpersonal skills.
Excellent verbal and written communication skills.
Strong attention to detail and organizational abilities.
Ability to prioritize tasks and work independently with minimal supervision.
Professional telephone etiquette.
Comfortable working in a fast-paced, team-oriented medical office.
Proficiency with computers and Microsoft Office applications; experience with electronic medical records (EMR) preferred.
Previous medical office, scheduling, referral, or insurance authorization experience preferred.
Knowledge of orthopedic or physical therapy services is a plus.

Schedule

Part-time (approximately 18–24 hours per week). The anticipated schedule is three days per week, generally 8:00 AM–2:00 PM, with flexibility for additional hours based on the candidate's availability and practice needs.

Compensation & Benefits

$20.00–$22.00 per hour, based on experience.
