Position Overview
The Administrative Coordinator, Athletics & Recreation in the Athletics & Recreation Department, reporting to the Assistant Vice President & Director, Athletics, coordinates seamless office operations and provides high-level administrative services to the Assistant Vice President/Director of Athletics, leadership team, department staff, and the broader Athletic and Recreation department.
The ideal candidate will be proactive, detail-oriented, highly organized, and able to handle confidential matters with discretion while managing complex day-to-day operations and communications, and coordinating cross-campus administrative processes. This role serves as a central point of contact for staff, faculty, students, and external vendors.

Key Responsibilities
60% of Time: Department Operations & Coordination
- Executive & Administrative Operations: Provide high-level administrative support to the AVP/Director of Athletics, leadership team and department staff, including managing travel logistics, recording meeting minutes, and executing departmental events. Represent athletics at monthly institutional administrative meetings to ensure cross-campus alignment.

Calendar & Schedule Optimization: Oversee and optimize the AVP’s complex calendar—proactively scheduling meetings, managing appointments, coordinating conference calls, and securing appropriate venues.

Cross-Functional Collaboration: Serve as the primary administrative liaison between Athletics and key campus partners—including HR, Accounts Payable, Purchasing, Bursar, Admissions, Facilities, and Public Safety—to maintain smooth operational workflows.
40% of Time: Document Control and Campus Workflow

Financial & Procurement Management: Drive end-to-end procurement workflows by processing purchase requisitions, managing invoice submissions, and maintaining proactive vendor relationships to track orders and ensure timely payments.

Expense Auditing & Credit Card Reconciliation: Audit and approve monthly expense reports for the Assistant Vice President/Director of Athletics. Partner with Accounts Payable to reconcile outstanding staff credit card transactions and ensure financial compliance.

Onboarding & Operational Logistics: Coordinate the onboarding experience for new staff and volunteer coaches by guiding them through HR paperwork and coordinating complete workspace setups.

Payroll & Contract Coordination: Oversee Period Activity Pay (PAP) processing for part-time and club coaches, serving as the primary operational liaison to Human Resources for smooth payroll execution.

Schedule Administration & Campus Coordination: Oversee summer leave tracking and vacation approvals. Authorize, compile, and distribute the weekly master athletic calendar to the President’s Office and Public Safety, ensuring campus-wide coordination.

Be an active participant in the life of the College by attending and supporting key events like Commencement, Homecoming, and other all-hands-on-deck gatherings. Show a spirit of collaboration and community involvement, including volunteering when possible.

Qualifications and Skills

Bachelor's degree or comparable work experience.

Minimum of 3 years of experience in an administrative support role.

In compliance with Massachusetts pay transparency law, the annual base salary range for this position is $55,000–$65,000. Endicott College considers factors such as (but not limited to) the scope and responsibilities of the position, relevant work experience, education, specialized skills, internal equity, and external market data when extending an offer. The final salary is determined by the Human Resources Office based on these factors. This range reflects base salary only and does not include benefits or other compensation.
