Humane Society of South Mississippi

Clinic Receptionist

Classification: Full Time, Non exempt

Job Relationship: Reports to Front of House Clinic Manager, Clinic Director

Position Summary: Responsible for the operations of clinic service counter; maintain complete records of clinic activities. Primary responsibilities include ensuring surgery and wellness appointments are properly scheduled, answering phone calls and emails, data entry is kept up to date, the computer software program is used to its maximum level, and discharges are completed in a timely, professional manner.

Knowledge/Skills/Abilities: A team player able to work in a fast-paced environment. Knowledge of animal care, breeds and behavior helpful. Client service experience strongly recommended. Strong work ethic and attention to detail a must. Committed to the mission of the HSSM. Must possess extensive computer knowledge and typing skills. Must have the ability to effectively communicate verbally and in writing. Must be 18 or older; able to lift 50 lbs.; able to stand, bend and perform duties as assigned and possess a High School Diploma or GED and a valid driver’s license.

RESPONSIBILITIES

Operate the main clinic service counter while maintaining a neat and clutter-free work space.
Keep necessary supplies on-hand.
Provide positive, friendly, high-quality client care and ensure that owners are happy and comfortable with leaving their pets in a safe and loving environment.
Escalate severe client care issues to Clinic Manager and Director.
Responsible for processing animals into clinic, ensuring that all paperwork is accurate and complete.
Responsible for providing post-operative care instructions to owners and discharging animals
Create animal ID collar and cards.
Maintain complete, organized records for each patient.
Ensure proper paperwork goes home with each patient.
Maintain client database and ensure client records are entered into Humane Solutions by the end of each day.
Take cash and credit card payments
Enters correct data into cash register (Must be good at math)
Create rabies certificates and enters microchip information.
Provide in-person, telephone, and email customer services, answers questions, and schedule surgical and wellness appointments.
Grant tracking
Answers phone, email, and pet desk requests in a timely manner
Proper surgery and drug log invoicing
Develops and maintains cooperative, working relationships with other animal welfare agencies.
Adhere, as strictly as possible, to the procedures and protocols provided by the Humane Alliance, unless otherwise instructed by Clinic Director and/or Chief Veterinarian.
Assists the Clinic Director with a variety of tasks.
Actively support associate staff and volunteers: promote the development of skills, related to the advancement of HSSM’s goals and mission. Report employee or volunteer issues in a confidential manner.
Always represent HSSM in a professional and courteous manner.
Provide quality service to clients, volunteers and staff, recognizing their individual contributions to the success of our organization.
Actively promote spay and neuter and educate clients on responsible animal ownership.
Transport incoming patients to holding kennels with paperwork and outgoing animals to owners for release.
Making sure customers are advised of the proper time to arrive for pick up and drop off.
Responsible for reconciling the register tape to the report at the end of each day
Responsible for submitting appropriate end of the day reports and cash deposits to the finance director
Following veterinary pharmaceutical laws
Other duties as assigned

General Expectations:

Must be flexible with scheduling and is available when away from the facility as needed to meet the needs of the organization.
Creates, promotes, and follows safety guidelines to ensure a safe work environment. Takes immediate action to address any safety concern or non-compliance with OSHA safety rules that could put an employee, volunteer, client, animal, and organization at risk.
Promotes integration and engagement of volunteers.
Promotes communication and cooperation between HSSM departments.
Actively solicits donations, promotes retail sales.

Working Conditions: Work is performed in a normal clinic setting. Exposure to high noise levels and cleaning agents when in kennel area. Subject to animal bites and scratches. Able to handle animals of questionable health and temperament. Occasional lifting of up to 50 pounds with reasonable accommodation. Standing, bending and stretching for 8-10 hours per day. Computer usage. Exposure to zoonotic disease.
