Budget Title: Senior Staff Assistant (SL-3)
Salary: $57,151 - $68,000
The Assistant to the Associate Deans provides high-level administrative support in a dynamic academic environment with shifting priorities and evolving needs. This role requires effective organizational skills, sound judgment, discretion, and the ability to manage competing responsibilities with accuracy and efficiency.
Working across divisions and collaborating with a wide range of individuals and groups, this position helps advance the Associate Deans' initiatives and daily operations. The role plays a critical part in maintaining day-to-day workflow continuity and supporting the effective coordination of projects, communications, and administrative processes. The successful candidate will be highly organized, proactive, and able to anticipate needs, solve problems, and maintain forward momentum with minimal supervision while consistently producing reliable and high-quality work.
Key Responsibilities:
- Provide flexible administrative support for committees, special projects, and events.

Coordinate meetings and committee operations, including scheduling, agenda development, minutes, follow-up communication, and action item tracking.

Coordinate purchasing, vendor communication, and procurement activities related to programs, grants, events, and operational needs.

Track expenditures for designated accounts and grant-funded initiatives.

Manage and organize documents, files, and shared drives, ensuring appropriate access and recordkeeping.

Develop promotional and informational materials using Canva, Google Slides, and related tools.

Monitor deadlines and independently manage recurring and ad hoc responsibilities to ensure timely completion.

Assist with planning and logistics for events, visiting guests, and travel arrangements.

Contribute to projects and strategic initiatives through data collection, reporting, and document coordination.

Facilitate communication and coordination among faculty, staff, campus, and community partners, and external organizations.

Exercise discretion and maintain strict confidentiality with sensitive information.

Demonstrate follow-through, attention to detail, and the ability to foster and maintain effective working relationships across a wide range of collaborators and stakeholders.
The successful candidate will demonstrate written and verbal communication skills, including the ability to prepare clear and professional documentation and contribute to solution-oriented collaboration. The position requires organizational and technical proficiency, professionalism, interpersonal effectiveness, and the ability to independently manage multiple responsibilities in a complex environment.
Job Requirements:

Bachelor's degree

Demonstrated experience preparing clear, accurate, and professional documentation and communications

Demonstrated ability to effectively use Google Workspace tools, including Gmail, Calendar, Docs, Drive, Sheets, Forms, and Slides
Preferred:
- Master's degree

Demonstrated experience providing administrative support to leadership within higher education or another complex organizational environment
