Full Job Description

Overview

We are seeking a highly organized and enthusiastic Administrative Assistant to play a vital role in supporting a top-producing agent in delivering outstanding service to clients. This individual will ensure smooth operations and uphold the agent's reputation for excellence.

Responsibilities

LISTINGS (Listing to Contract)

● Understand and assist with all aspects of sellers transactions from initial contact to executed purchase agreement.

● Help with preparing listing materials: pre-listing presentation, Listing Agreement, sellers’ disclosures, comparative market analysis, pull online property profile, research old multiple listing service (MLS) listings, etc.

● Help obtaining all necessary signatures on listing agreement, disclosures and other necessary documentation.

● Assist in coordinating showings & obtain feedback.

● Assist in coordinating public open houses and broker open houses as needed.

● Assist with imputting listing information into MLS and update as needed.

● Assist with all necessary documentation to office broker for file compliance.

TRANSACTIONS (Contract to Closing)

● Oversee all aspects of buyer & seller transactions from executed purchase agreement to closing.

● Follow up on title/escrow, mortgage loan and appraisal processes.

● Help coordinate inspections, assist in negotiations regarding repairs, and coordinate completion of repairs.

● Regularly update & maintain communication with clients, agents, title officer, lender etc.

● Submit all necessary documentation to the office broker for file compliance.

● Help with requesting and sharing of commission statements to facilitate closings.

● Obtain client testimonials for websites, social media & other marketing materials.

● Assist with follow-up marketing/ closing gift coordination.

MARKETING

● Manage client database management program & system.

● Prepare all buyer & seller consultation packages.

● Coordinate the preparation of all listing & open house flyers, graphics, signage and all other marketing materials associated with real estate.

● Regularly assist all team members SM to enhance the agent's social media presence.

● Track & coordinate inbound leads.

● Coordinate & implement agent marketing videos & property videos on website(s), blog(s), social media and client database email campaigns.

● Manage a weekly Team recap video and post to all SM sites.

● Send “Just listed” and “Just sold” postcards after each listing & sale.

● Assist in finding new marketing materials/creative ideas.

● Assist in creating post cards, mailings, business cards etc as needed by Team members.

● Stay current on local events, fundraisers, etc that the Team can either attend or support. Share content on SM and with the Team.

● Available to assist with occasional Team events ( ie- Roberson Tree decorating) outside of the office

ADMINISTRATIVE

● Oversee all aspects of the administration of the agent’s business.

● Coordinate the purchasing of any office equipment, marketing materials and any other business related supplies and materials.

● Coordinate with Ithaca when Team members either leave or join the team.

● Hold agent(s) accountable for conducting all agreed upon lead generation activities.

● Ensure that all agent activities are limited to listing property, showing property, negotiating contracts & lead generation.

● Try to attend all Warren trainings that are related to any industry changes that are held locally or via Zoom.

Qualifications

Previous experience in real estate administration or a related field is preferred however not required.

Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.

Strong interpersonal and communication skills, with a genuine passion for helping clients navigate the real estate process.

Proactive and resourceful, with the ability to work independently and make informed decisions in line with business objectives.

Proficiency in office software and tools, including Microsoft Office Suite and CRM systems.

Ability to adapt to a fast-paced environment.

Commitment to upholding the values and reputation of the agent, including integrity, professionalism, and client-centricity.

This is an in person position. 15 +/- hours/per. M-F, preferably 10:00 am - 1:00 pm (flexible)

Pay: $18.00 - $20.00 per hour

Work Location: In person
