Full Job Description

Job Requirements:

Summary: This position is responsible for maintaining accurate accounting records, processing, and recording financial transactions, and ensuring compliance with established accounting policies and procedures.

Minimum Education: Bachelor’s degree in accounting, Mathematics or related. Extensive relative experience may be considered in lieu of degree.

Minimum Work Experience: Three to five years’ experience in comparable position.

1. Process, scan, and link all incoming vendor invoices and bankcard receipts. Mail checks to vendors weekly. Ensure that all liabilities are paid timely and correctly.

2. Maintain listing of recurring payments for which no invoice will be received. Maintain listing of other recurring payments to ensure receipt of invoice. Maintain list of annual invoices.

3. Receive and deposit all incoming checks using “Teller Scan” scanner, including entry into NetSuite.

4. Ensure balancing of United Way, Blue Cross, savings, supplemental insurance & 401(k) deferrals, and agency 401(k) contributions.

5. Obtain W9s; maintain vendor files; prepare annual 1099s for qualified vendors; file reports with

appropriate agencies.

6. Reconcile all petty cash as needed.

7. Reconcile balance sheets monthly.

8. Prepare PBC workpapers and Account Reconciliations for outside auditors at year-end audit. Provide all other schedules and information required for audit, vendor checks / transactions, scans of contracts, etc.

9. Participate actively in the agency PQI process and serves on agency committees as nominated.

10. Become trained in NetSuite functionality to best maintain and develop functionality to provide accurate program reports monthly for program directors, leadership, and the development department.

11. Apply accounting principles, regulations, and policies to all work duties; manage, prepare and maintain accounting documents and records in NetSuite and SharePoint.

12. Reconcile general ledger control accounts as needed to stay current.

13. Maintain list of recurring payments and verify that all are approved and paid timely.

14. Pay invoices via, check, charge card, ach including online and calling vendors. Posting all payments made.

15. Prepare checks for deposit and entry into database including online donations, check payments, or any ACH items from the bank.

16. Research accounting or documentation problems and discrepancies.

17. Inform supervisors and compile reports/summaries on activity areas; meet regularly with program directors to discuss budget, BVA and income statements for their program.

18. Function in accordance with accounting standards, procedures, and applicable laws; keep information confidential.

19. Assist Director of Grants & Contracts with contracts and reporting and contract CFO with month-end entries.

20. Process payroll, time entries, expense reports and running all appropriate reports from NetSuite; post reports in SharePoint.

21. Reconcile credit card accounts every month. Maintain ledger of charges and do a reconciliation in NetSuite monthly.

22. Prepare and submit quarterly Alabama Multi Site Report; apply for AL Sales Tax and Utility Tax Exemptions; prepare information for 1095’s in NetSuite; assist with workers compensation annual audit.

23. Exercises sound judgment, integrity, and ethical leadership in managing resources.

24. Build collaborative partnerships across all programs by providing financial guidance, fostering teamwork, and supporting informed decision-making.

25. Communicate financial information clearly and effectively to leadership, the Board of Directors, managers, auditors, funding agencies, and other stakeholders.

26. Apply critical thinking and problem-solving skills to identify financial risks, develop practical solutions, and improve organizational processes.

27. Build and maintain positive working relationships through emotional intelligence, professionalism, diplomacy, and conflict resolution.

Pay: $90,000.00 - $110,000.00 per year
