About the Role

POSITION SUMMARY
The Administrative Quality Assistant provides administrative, analytic, and coordination support to Copper Queen Community Hospital (CQCH) and five Rural Health Centers (RHCs). The role supports population health goals and workflows that improve preventive care and chronic disease management. The role is an essential part of the Quality Management System through maintaining program documentation, coordinating meetings, and working collaboratively with stakeholders at all levels (including medical staff, leadership, payors, and colleagues). The Administrative Quality Assistant will function as an integral part of the Quality and Safety department working as part of a team to ensure safe, high-quality care is provided to our patients.

ESSENTIAL FUNCTIONS
1. Population Health / Preventive Care Performance Support:
o Supports population health workflows for the rural health centers through administrative coordination of “care gap closure” processes (e.g., preventive screening and immunization outreach lists, reminder cadence support, and documentation support), reflecting shared responsibility for preventive care and chronic disease management in primary care.
o Supports tracking of measure-driven preventive care and chronic disease indicators commonly used by payers (e.g., HEDIS-aligned measures) and assists with compiling performance summaries for clinical leaders and RHC teams.
o Maintains a tracking calendar and submission/validation checklist for payer quality programs relevant to the organization’s primary care services (e.g., commercial pay-for-performance programs using HEDIS; Medicare Advantage-related measure-improvement initiatives; and Arizona Medicaid value-based purchasing arrangements), escalating gaps and deadlines to the Quality & Patient Safety Officer.
o Coordinates payer-requested chart chase documentation workflows and required attestations as directed, ensuring appropriate confidentiality and minimum necessary access.

2. Quality Data Management, Analytics, and Reporting:
o Assists in identifying, collecting data for, and analyzing Key Performance Indicators to measure and monitor process and outcome workflow.
o Produces and maintains standardized logs and spreadsheets (using Microsoft Word and Excel), meeting minutes/action items, audit schedules, policy review cycles, event follow-up status, training completion tracking, and key measure dashboards.
o Supports data integrity through record control, documented data definitions, and consistent methodology for recurring reports.
o Assists the Quality & Patient Safety Officer with preparing professional reports and presentations for leadership and governing body review, including concise narrative summaries and visual dashboards as directed.

3. Communication and Coordination:
o Demonstrates excellent oral and written communication skills.
o Communicates effectively with clinical and non-clinical stakeholders across all sites, including rural health center staff, hospital department leaders, and external contacts as directed.
o Ability to inform providers on quality measures, assist with performance improvement opportunities, and help identify solutions to performance barriers.
o Maintains reliable, professional communication during site travel and supports a consistent quality message across geographically separated clinic teams.

4. Teamwork and Mission-Driven Focus:
o Maintains a focus on the mission of the organization and must demonstrate flexibility to assist wherever directed to support safe, high-quality care.
o Supports the Quality & Safety department by participating in processes such as Occurrence Reporting, interacting with patients to record complaints, internal audit, safety rounds, and any other activities as directed.
o Demonstrates open, honest communication at all times.
o Reports risks and opportunities through appropriate channels to ensure they are addressed promptly.
o Maintains confidentiality at all times.
o Adheres to CQCH policies and procedures and external regulatory standards.

QUALIFICATIONS STANDARDS

Minimum of 1 year of experience in healthcare. Experience in primary care support and/or knowledge of payer quality programs and workflows, preferred.
Excellent written and verbal communication, leadership, and interpersonal skills.
Ability to develop and maintain supportive, professional relationships with all levels of stakeholders.
Ability to research and understand regulatory and payer-specific requirements.
Experience working with computer software such as MS Office (Word, Excel, Power Point, etc.).
Strong analytical skills and experience with descriptive statistics and the ability to interpret data and translate findings into actionable strategies.

PHYSICAL REQUIREMENTS
Must understand and accept the possibility of exposure to environmental conditions, such as infectious/communicable diseases, noise, blood, and blood-borne diseases, chemicals and/or chemical fumes, odors, gases, and dust. Frequent exposure to distressed patients, families, or visitors. Able to function effectively under stressful situations.

WORKING CONDITIONS
Work Environment:
1. Primarily an office-based role with some travel required between the hospital and rural health clinics. Must be able to sit for an extended period. Must be able to bend and lift 20 pounds.
2. May involve occasional evening or weekend work for meetings or training sessions.

Schedule: Full-time / Hourly (non-union) position. Flexibility to work irregular hours, including evenings, weekends, and during emergencies, if needed.
