Overview

We are seeking a dynamic and highly organized Office Manager/Administrative Assistant to join our team! This vital role combines administrative expertise with office management skills to ensure smooth daily operations and exceptional support for customers and service techs. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, ready to handle a variety of tasks that keep our shop running efficiently.

Responsibilities

Manage daily office operations, including overseeing ordering supplies, equipment, answering phones, and interacting with customers.
Serve as the first point of contact at the front desk, greeting customers with professionalism and courtesy
Handle incoming and outgoing correspondence, including emails, mail, and packages, ensuring timely distribution and follow-up
Maintain accurate records through data entry, filing systems, and spreadsheets using productivity software such as Microsoft Office and web based platforms.
Responsible for scheduling service appointments and ensuring timely correspondence.
Support bookkeeping activities by managing invoices, and responding to emails and calls.
Provide exceptional customer service by addressing inquiries promptly and maintaining positive client communication

Qualifications

Proven experience in office management or administrative support roles with strong clerical skills
Proficiency in Microsoft Office suite (Word, Excel, Outlook) along with familiarity with spreadsheets and data entry tasks
Technical proficiency in using phone systems, office equipment, and basic computer literacy tools
Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Strong phone etiquette, proofreading skills, and attention to detail for accurate documentation
Previous experience with customer service or front desk responsibilities is highly desirable
Personal assistant experience or familiarity with time management tools will be considered an asset
