Full Job Description

Overview
We are seeking a detail-oriented and organized Accounting Clerk/Administrative Assistant to join our dynamic team. This role is essential in providing administrative support while also handling various customer, accounting, and office tasks. The ideal candidate will have a strong background in office management, excellent customer service skills, and proficiency in Microsoft Office Applications and accounting software such as QuickBooks. If you are a proactive individual with the ability to multitask and thrive in a fast-paced environment, we encourage you to apply.

Responsibilities

Front desk operations, including greeting visitors and answering inquiries
Handle multi-line phone systems with professionalism and courtesy
Perform data entry tasks accurately and efficiently
Send and receive order acknowledgements, purchase orders and proofs. Maintain filing systems and ensure documents are organized while following established processes
Assist with bookkeeping tasks, including invoicing and purchase orders
Provide customer support through effective communication and problem-solving
Utilize Microsoft Office for document preparation and management
Support calendar management for scheduling appointments and meetings
Proofread documents for accuracy and clarity
Collaborate with team members to ensure smooth office operations

Skills

Proficiency in Microsoft Office (namely Outlook, Word & Excel and QuickBooks is preferred
Bilingual skills are a plus for effective communication with diverse clients
Excellent organizational skills to manage multiple tasks efficiently
Prior experience in clerical roles or administrative positions is highly valued
Strong communication & typing skills with attention to detail for data entry tasks
Familiarity with phone etiquette to handle customer inquiries professionally
Time management skills to prioritize tasks effectively in a busy environment
Background in personal assistant roles or office management will be beneficial
