Job Overview

We are seeking a dynamic and organized Assistant Project Manager to join our team and help drive successful project execution from start to finish. In this energetic role, you will support project managers by coordinating tasks, managing schedules, and ensuring seamless communication among team members and clients. Your proactive approach and strong organizational skills will be vital in maintaining project timelines, tracking progress, and facilitating efficient workflows. This paid position offers an exciting opportunity to develop your project management expertise while contributing to impactful projects in a fast-paced environment.

Responsibilities

Assist project managers in bidding, planning, executing, and closing projects by providing administrative support and coordinating project activities
Manage project documentation, including reports, schedules, spreadsheets, and correspondence using productivity software such as Microsoft Office and Word processing tools
Maintain accurate data entry records related to project milestones, budgets, and resource allocations with attention to detail and proofreading accuracy
Support calendar management for project timelines, meetings, and client communications using calendar management tools
Facilitate communication with clients, vendors, and team members via phone calls, emails, and multi-line phone systems while practicing professional phone etiquette
Organize files, maintain filing systems, and handle clerical tasks such as copying, scanning, and filing documents efficiently
Provide exceptional customer service by addressing inquiries promptly and supporting front desk operations when needed

Qualifications

Proven office management experience with strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Strong data entry skills with high accuracy; experience with spreadsheets is preferred
Exceptional communication skills both verbally and in writing; bilingual abilities are a plus
Previous administrative or clerical experience including calendar management, filing, proofreading, and phone communication
Technical proficiency with office equipment such as multi-line phone systems and office management tools
Demonstrated customer service skills with a professional demeanor; experience supporting clients or internal teams is advantageous
Ability to manage time efficiently while handling multiple responsibilities simultaneously
