The Office of Enrollment Management (OEM) at Indiana University Bloomington is dedicated to attracting, enrolling, and supporting a community of talented students from Indiana, across the nation, and around the world. The team provides high-quality service to students, faculty, and staff through the management of student records, course scheduling, registration, and academic policy implementation.
Job Summary
The Associate Registrar is an integral member of the Leadership Team, the Associate Registrar for Academic Scheduling provides high-level operational and strategic thinking for all academic and event scheduling functions on the Bloomington campus.
Department Specific Responsibilities
Contributes to office-wide decision-making and long-range planning, helping to shape priorities, resource decisions, and the overall strategic direction of the Office of the Registrar.
Oversees the full scheduling lifecycle, including development and publication of the Schedule of Classes and the final exam schedule, and year round academic, exam, and event scheduling operations, ensuring accuracy, consistency, and alignment with campus academic policies and priorities.
- Serves as the campus functional lead for scheduling and student information systems, guiding process design, data integrity, and operational standards in collaboration with key campus partners.

Identifies and resolves complex scheduling issues, recommends and implements improvements to scheduling practices, and evaluates policies to support effective and equitable use of instructional space.
Contributes to campus level planning related to long-term classroom utilization strategies, and represents the Office of the Registrar in campus initiatives.
- Advances a scheduling environment that supports instructional needs, promotes student success, and strengthens campus operations through proactive communication, collaboration and service excellence.

Provides operational leadership for all aspects of Academic Scheduling for the Bloomington campus, including full cycle planning, implementation, and evaluation of the Schedule of Classes.

Directs and oversees the creation, maintenance, and publication of the Schedule of Classes each term, ensuring timely delivery, accuracy, and alignment with academic calendars and campus policies.

Manages Classroom Scheduling activity for campus teaching spaces, including academic and non-academic events, faculty and staff events, and student organization requests, coordinating closely with Student Life and other campus partners to ensure smooth processes for all users.

Leads the Final Exam Scheduling process for all teaching spaces, including coordination with academic units responsible for departmental learning spaces.

Serves as the functional lead for academic and event scheduling systems, including 25Live and PeopleSoft, with responsibility for process design, data integrity, and selected system configuration authority.

Evaluates, designs, and implements business processes that advance scheduling operations, improve efficiency, enhance user experience, and support Bloomington-specific scheduling standards.

Identifies and resolves complex, multiunit scheduling conflicts and resource challenges; exercise authority to approve policy or process exceptions within established guidelines.

Provide leadership, guidance, and supervision to 1 Assistant Registrar and at least 1 additional staff member; support development and performance management of the broader scheduling team.

Shapes short-term operational priorities and long-term strategic plans related to academic and event scheduling, classroom utilization, and space planning needs.

Collaborates closely with the Registrar, UITS, Space Planning, Capital Planning, Student Life, and academic units on scheduling standards, operational decisions, and initiatives.

Proactively communicates with Registrar leadership, team members, academic units, and campus stakeholders regarding scheduling cycles, system changes, policy updates, and initiatives.

Ensure on-time publication of the Schedule of Classes; monitor conflicts and exceptions; evaluate scheduling related policies and propose revisions as needed.

Generates reports on room utilization and scheduling metrics to support policy evaluation and operational improvements.

Identifies operational issues and/or areas of improvement and implements solutions to improve processes and/or operational efficiency.

Analyzes, monitors, and evaluates performance of assigned staff; establishes work priorities, conducts performance reviews, and provides corrective action as needed.

Ensures adequate staffing and effective scheduling; participates and informs employment decisions for assigned staff.

Provides direct supervision and oversight of assigned staff and activities; impacts, and is held accountable for, the performance of team and/or assigned staff.

Ensures and provides training to assigned staff to improve registrar operations; researches and identifies development opportunities for assigned staff.

Researches and stays up-to-date on new industry registrar standards, best practices, and emerging technology; keeps next-level leader(s) informed of trends as well as significant problems.

EDUCATION
Required

Bachelor's degree in business, public policy, or related field

WORK EXPERIENCE

2 years in student services, registrar services, higher education student affairs, or related field

1 year of management experience in a related field

Experience in a large multi-campus university student records office and knowledge of academic policy and procedures

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
Work Location
Bloomington, Indiana
This role is eligible for a hybrid work arrangement (3 days in office 2 days remotes) subject to change based on business needs or university policy.
Advertised Salary
Up to $75,000 based on experience
