Job Summary
A Billing and Inventory Associate, will be the welcoming face and first point of contact for our patients. From scheduling appointments to providing crucial insurance information, the role is essential in ensuring a smooth and supportive experience for all who visit the Student Health Center. A person in this role will have customer service skills and attention to detail, this will be key as patients are guided through the process, all while adhering to our guidelines on eligibility, insurance coverage, billing, and patient confidentiality.
Department-Specific Responsibilities
- Assists patients with all aspects of registration and check-out processes.
- Verifies patient eligibility, student status, and demographic information.
- Schedules appointments in an efficient and timely manner.
- Verifies insurance coverage and ensure accurate insurance details are added to patient accounts.
- Acts as a liaison between patients and insurance providers, ensuring smooth communication.
- Accepts payments from patients and process transactions accurately.
- Maintains a secure cash drawer, ensuring proper handling of all monetary transactions.
- Serves as the primary contact for patients, parents, and Health Center staff regarding financial matters, insurance, and billing inquiries.
- Addresses any inquiries regarding insurance, billing, or other financial concerns in person or via phone.
- Assists with posting insurance payments to claims as needed.
- Processes internal billing documents and maintain information in the CAQH provider database.
- Manages and maintains the Health Center's supplies inventory, performing regular inventory counts.
- Receives all deliveries, sign for packages, sort mail, and monitor for urgent deliveries.
- Works closely with the purchasing team to handle returns of damaged items and place orders for new supplies as needed.
- Delivers supplies to departments within the Health Center as requested.
General Responsibilities
- Under moderate supervision, performs financial and administrative tasks related to processing financial or other administrative records.
- Processes documents into the university's central information systems (Travel, KFS, HRMS, etc.) and verifies that information is correct. Investigates and resolves discrepancies in financial documents.
- Maintains records of financial transactions, compiles data, and prepares reports.
- Verifies accuracy of adjustments to payroll including supplements and garnishments. Audits, coordinates, and processes payroll; verifies accuracy of payroll information.
- Confirms available accounts and ensures timely payments are made to payees.
- Responds to inquiries regarding financial and/or personnel policies and procedures.
- Serves as a liaison to department and/or other university divisions.
- May provide guidance to lower-level employees on their day-to-day work.

EDUCATION
Required

High school diploma or equivalent (such as HSED or GED).

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
Ability to move up to 25 pounds.
