Full Job Description

Job Title: First Impressions Specialist (FIS) | Marketing Assistant

Department/Group: Office Management and Human Resources │ Marketing

Purpose of Position: The Front Desk Administrator creates the first impression for Ispiri callers and visitors to our office. This position provides administrative support for Ispiri managers, as well as support for Sales and Accounting Departments. Responsible for keeping accurate reports and processes related to our customers’ projects. The liaison for building maintenance. Social planning for staff functions as well as some showroom events to enable future growth of business and current opportunities.

The Marketing Assistant supports the effective execution of the company’s marketing plan by coordinating and implementing assigned marketing activities and initiatives under the direction of the Marketing Manager, while contributing to the organization’s overall marketing objectives and brand presence.

Reporting to: Office and Human Resources Manager

Job Description:

ROLE AND RESPONSIBILITIES

FIS

Answer incoming calls with professionalism and transfer them to the appropriate Ispiri employee.
Greet Ispiri guests warmly making them feel welcomed. Offer our customers a beverage. Hang up their coat.
Ensure that the showroom and meeting rooms are clean and prepared for the day’s meetings, and spot check throughout the day.
Manage meeting room calendars so that there is no overlap of appointments. Have the clients names on Welcome Board.
Record all new lead calls/walk-ins for all divisions of Ispiri LLC. Enter into Salesforce database system.
Follow FIS Checklists for each stage of a job. Enter information into Salesforce and follow processes from signed Design Agreement, to Contract, to Production, to Completion.
When homeowner sends list of warranty repairs, work with the Production Mgr. to schedule next steps.
Perform administrative duties upon requests from Ispiri Managers.
Assist in planning Community Outreach and Ispiri events – 1-2 per year.
Facilitate and improve the processes to be most efficient and effective
Track employee birthdays and send an E-Greeting, including all staff on email.
Receive daily mail and distribute
Receive deliveries and sign off on them. Notify staff that they are here.
Maintain and replenish all office supplies, such as paper, toners, and everyday items needed. Inform supervisor when items are low and need to be reordered.
Open and close showroom. Expected coverage hours in Edina are Monday – Friday from 9:00am – 5:30pm

MARKETING SUPPORT

EVENT & TRADESHOW COORDINATION

Facilitate events and tradeshows by maintaining the annual event calendar.
Register Ispiri for home shows, tradeshows, chamber events, and other industry/community events.
Work with the Marketing Manager to plan and coordinate the annual Client Appreciation Event.

MARKETING & ADVERTISING SUPPORT

Create and maintain the annual advertising deadline calendar for the Marketing Manager.
Support the Marketing Manager with small updates and edits to marketing collateral as needed.
Pull client reports for direct mail and email marketing campaigns.

SOCIAL MEDIA SUPPORT

Partner with the Marketing Manager to plan social media content.
Create and schedule/post social media content as directed.
Help ensure social media content aligns with the overall marketing calendar and upcoming events.

INVENTORY & BRANDED MERCHANDISE

Maintain, monitor, and order inventory of:

o Marketing collateral and supplies

o Ispiri-branded merchandise

MONTHLY MARKETING COORDINATION

Prepare the agenda for the monthly marketing meeting.
Include an updated events calendar with the meeting materials.
Keep the team informed of upcoming events, deadlines, and marketing needs.

GENERAL MARKETING & TEAM SUPPORT

Provide day-to-day administrative and organizational support for the Marketing team.
Assist Sales and other departments with marketing-related requests as needed.
Help keep marketing materials, event supplies, and branded items organized, stocked, and ready for use.

QUALIFICATION REQUIREMENTS

Two years of front desk experience
Detailed & Organized
Working knowledge of social media, generating strong ideas for ISPiRI’s online presence, Microsoft Office, Excel, contact management databases
Salesforce experience a plus
Ability to prioritize and work independently with minimal supervision
Demonstrate ability to handle multi-tasking and have exceptional organizational skills
Ability to anticipate needs, follow through on tasks and meet designated deadlines
Demonstrate the ability to communicate effectively and professionally with employees, customers and external contacts with the organization
To represent the company in a highly professional manner
