Join Our Team
We're looking for an organized, proactive, and detail-oriented Operations Coordinator to support the daily operations of our ABA therapy clinics. This position is ideal for someone who enjoys creating order, supporting others, and ensuring the behind-the-scenes operations run smoothly. Working closely with our Operations and Clinical Leadership Teams, you'll play an essential role in supporting patient services, employee administration, scheduling, facility operations, and day-to-day business functions.

What You'll Do
As an Operations Coordinator, you'll report directly to the Chief Operating Officer (COO) to support a wide variety of operational responsibilities, including:
Administrative Support
- Manage incoming mail, faxes, phone calls, and email communications.
- Maintain electronic filing systems and administrative records.
- Prepare reports, forms, correspondence, and operational documents.
- Coordinate communication and documentation with external partners, including payroll, billing, and insurance vendors.
Patient Administration
- Coordinate patient intake appointments and initial assessments.
- Collect, organize, and maintain patient documentation.
- Conduct routine audits to ensure patient records remain accurate and complete.
Scheduling & Operations
- Maintain patient schedules in collaboration with the Clinical Director and Program Manager.
- Process employee time-off requests.
- Coordinate daily schedule adjustments due to cancellations or staffing changes.
- Communicate schedule updates to employees and families.
Practice Management
- Review appointments for billing readiness.
- Maintain patient and employee profiles within practice management systems.
- Support patient payment processes and operational documentation.
Employee Support
- Coordinate employee onboarding and orientation.
- Ensure new hires have equipment, workspace, and system access before their first day.
- Coordinate employee offboarding and system access removal.
- Work with leadership and our Professional Employer Organization (PEO) to support employee administration.
Facility & Business Operations
- Monitor office supply inventory and coordinate facility maintenance.
- Support OSHA, emergency preparedness, and facility compliance documentation.
- Assist with payroll documentation, accounts payable, bookkeeping support, and financial recordkeeping.
- Coordinate employee appreciation events, celebrations, and culture initiatives.

Qualifications
- High School Diploma or equivalent required; Associate's Degree preferred
- 3 or more years of related experience

- Independently and proficiently applies occupational knowledge and skills
- Self-directed learner who independently seeks opportunities to develop additional skills
