Objective
Improve operational efficiency, customer service, inventory accuracy, and sales growth by establishing the role of Inside Fence Sales Coordinator.
This position will operate independently of the general operations staff and serve as the primary liaison between fence sales and branch operations. As our fencing business continues to grow, this role will establish the structure, communication, and accountability needed to support that growth while improving efficiency throughout the branch.
Qualifications and Training
- Previous fence sales experience is preferred but not required; training will be provided.
- A general understanding of fencing products and warehouse operations is beneficial.
- Strong computer, telephone, communication, and organizational skills are required.
- Training will be provided on the company’s operating system.
- Must be dependable, detail-oriented, and capable of working independently.
- Must be comfortable communicating with customers, installers, sales representatives, management, warehouse personnel, and vendors.
Reporting Structure
- Reports directly to the Fence Sales Manager.
- Maintains a dotted-line reporting relationship with the Branch Manager.
- Serves as the intermediary between fence sales and branch operations.
Primary Responsibilities
1) Sales and Customer Support
- Process quotes and sales orders accurately and promptly.
- Enter, update, and maintain customer orders in the company’s operating system.
- Assist customers with pricing, product selection, material availability, and delivery scheduling.
- Support outside sales representatives with quoting, order entry, order changes, and follow-up.
- Maintain clear and timely communication with customers throughout the order process.
2) Delivery Coordination
Contact installers two to three days before delivery to confirm:
- Delivery date and time.
- Jobsite readiness.
- Material requirements.
- Order quantities and requested changes.
- Access and delivery instructions.
3) Sales Order Review Meetings
Conduct a focused 10–15-minute meeting every Monday, Wednesday, and Friday at 3:00 p.m. with sales, management, and warehouse personnel.
The meeting will:
- Review upcoming deliveries and customer pickups.
- Confirm order changes.
- Verify the arrival of special-order materials.
- Identify inventory shortages and potential order delays.
- Confirm payment status when appropriate.
- Ensure warehouse personnel are working from the most current sales orders.
- These meetings will occur without exception and should not be interrupted.
4) Quality Control and Payment Verification
Before any delivery or customer pickup leaves the yard:
- Verify that all materials match the current sales order.
- Confirm product descriptions, quantities, hardware, gates, and accessories.
- Confirm that all special-order materials have arrived.
- Notify customers or installers when special-order materials are available.
- Confirm whether special-order materials will be picked up or delivered.
- Verify that payment arrangements have been established and approved.
- No order may leave the yard until payment has been verified, processed, or otherwise approved in accordance with company policy. Invoices must be generated immediately following delivery or pickup.
5) Inventory, Purchasing, and Material Organization
- Review and monitor fence inventory weekly.
- Identify low-stock, fast-moving, and out-of-stock items.
- Prepare purchase orders for approval.
- Verify purchase orders, vendor acknowledgments, and anticipated ship dates.
- Track incoming inventory and special-order materials.
- Communicate potential shortages or delays to sales, operations, and customers.
- Contact installers when special-order materials arrive and confirm whether the materials will be picked up or delivered.
- Maintain accurate records of outstanding purchase orders and special orders.
- Work with yard personnel to ensure fencing materials are stored properly and kept free of obstructions.
- Maintain clear access to fencing materials for inventory counts and order pulling.
- Help ensure fencing materials are handled and stored properly to prevent damage and protect company assets.
6) Business Development
During slower periods:
- Follow up on open quotes and outstanding proposals.
- Re-engage inactive and former customers.
- Conduct outbound prospecting calls.
- Support lead-generation and customer-development initiatives.
- Identify opportunities to increase fencing sales and strengthen customer relationships.
- Maintain accurate notes and schedule appropriate follow-up activities.
7) Additional responsibilities
- Communicating all order or scheduling changes to sales and warehouse personnel before materials are pulled, sorted, or loaded.
- Helps to ensure that deliveries are complete, accurate, and ready on schedule.

Performance in this position will be measured by:
- Improved sales revenue year over year.
- Accurate and timely order entry.
- Fewer delivery errors and missing materials.
- Improved communication between sales and operations.
- Consistent payment verification and prompt invoicing.
- Improved inventory and special-order accuracy.
- Timely customer and installer communication.
- Proper organization, storage, and protection of fencing inventory.
- Increased quote follow-up and conversion.
- Growth in new and reactivated customer accounts.
Expected Impact
The Inside Fence Sales Coordinator will provide the operational discipline necessary to support the continued growth of the fencing business. This position will improve order accuracy, inventory management, material organization, delivery coordination, customer service, accountability, and sales productivity across the entire branch.
Compensation
Pay is based on expeirence.
