Clinical Operations Manager – Cardiology

About the Opportunity

Florida Heart & Vascular is seeking an experienced, hands-on Clinical Operations Manager to lead our outpatient clinical operations and Medical Assistant teams across our Broward County practice locations.

We are looking for a strong manager who enjoys leading people and running day-to-day clinical operations. This role is ideal for someone who is comfortable being visible in the clinics, working directly with physicians and Medical Assistants, solving operational problems and ensuring established processes and performance expectations are consistently executed.

This is not a desk-only management position. The Clinical Operations Manager will have responsibility for the people, workflows and resources that support our physicians and patients every day.

This role does not require extensive executive or Director-level experience. We are looking for a capable people leader with strong clinical practice operations experience who is ready to take ownership of the daily clinical operation and continue growing as a leader.

What You'll Own

Clinical Team Leadership

Lead our Medical Assistants and assigned clinical personnel, including:

Staffing and coverage
Recruiting and hiring
Onboarding
Training and competency
Coaching and development
Performance management
Attendance
Retention and turnover
Payroll/timekeeping
Overtime
Labor utilization

You'll be accountable for building a stable, well-trained and high-performing clinical team.

Physician Partnership

Develop strong working relationships with our cardiologists and other providers.

You'll regularly engage with physicians to understand clinical operational needs, ensure appropriate MA support, address recurring concerns and improve the workflows that support efficient patient care.

You will serve as a key day-to-day operational resource for our providers and help ensure issues are addressed timely and appropriately.

Clinical Operations & Performance

Own and improve important clinical processes including:

Provider and clinic readiness
Chart preloading/pre-visit preparation
Athena clinical inboxes and work queues
Athena provider schedule templates
Clinical patient flow
Missing slips/clinical charge-capture support
Clinical workflow completion
MA performance
Patient NPS and clinical patient experience

Workflow Optimization

We don't want someone who simply maintains existing processes.

We want someone who continuously looks for practical opportunities to:

Simplify work. Reduce rework. Improve patient flow. Improve staff productivity. Reduce physician administrative burden. Standardize processes. Better utilize Athena. Improve capacity.

You'll help turn those opportunities into sustainable workflows, train teams and ensure new processes are consistently followed.

Clinical Programs

Serve as a clinical operations champion for programs requiring participation from our clinical teams.

You'll help translate new programs into practical workflows, train employees, support implementation, monitor staff adherence and address performance gaps.

Programs may include remote monitoring, care management, cardiac device/monitoring initiatives, quality programs, diagnostic workflows and other cardiovascular services.

Clinical Labor & Financial Stewardship

Manage clinical staffing and labor resources effectively.

You'll monitor staffing, overtime, productivity and labor performance and identify opportunities to improve efficiency while maintaining appropriate provider and patient support.

Medical Supplies & Cost Management

Manage medical supply ordering, inventory and spend.

You'll be expected to identify opportunities to:

Reduce supply costs
Reduce waste
Standardize products
Improve purchasing
Reduce unnecessary inventory
Evaluate clinically appropriate alternatives
Improve vendor pricing/value

We want someone who understands that good clinical operations include responsible financial stewardship.

Clinical Vendors & Industry Representatives

Manage assigned relationships with clinical vendors and pharmaceutical, medical-device, diagnostic, equipment, supply and other industry representatives.

You'll help ensure these relationships provide appropriate clinical and operational value while maintaining professional, privacy and compliance standards.

Clinical Compliance

Support ongoing clinical regulatory readiness and staff adherence to applicable training, competency, safety and clinical requirements.

You'll monitor outstanding requirements, identify risks and work with the appropriate physicians, FHV leadership and CVAUSA resources to drive timely resolution.

What We're Looking For

The ideal candidate has:

3+ years of medical-practice, ambulatory clinical operations or comparable healthcare experience, including demonstrated experience leading Medical Assistants or other clinical support staff
Previous Clinical Manager, MA Manager, Practice Manager, Clinical Supervisor or similar leadership experience preferred
Experience working directly with physicians
Strong employee coaching and performance-management skills
Experience recruiting, hiring and retaining clinical staff
Strong understanding of outpatient clinical workflows
Experience managing clinical staffing and labor
Experience with clinical supply/inventory management
Experience using operational KPIs to drive improvement
Experience implementing and standardizing workflows
Strong communication, organization and follow-through
Ability to operate effectively across multiple locations
Comfort with EMR-based clinical workflows
Understanding of outpatient regulatory and compliance requirements

Highly Preferred

Experience in one or more of the following areas is particularly valuable:

Cardiology or cardiovascular practice operations
Experience working directly with cardiologists
Multi-site specialty medical group operations
AthenaOne
Clinical program implementation
Clinical vendor management
Clinical labor/productivity management
Medical supply cost management
Cardiovascular clinical workflows and terminology
Process and workflow improvement

RN, LPN or other applicable clinical background is beneficial but not required if the candidate has strong relevant clinical operations and people-leadership experience.

You should be comfortable getting into the details when necessary without becoming trapped in them.

One moment you may be helping resolve an MA staffing issue. The next you may be working with a physician on a clinical workflow concern, reviewing an Athena inbox backlog, addressing chart-preload performance or determining why a clinical process isn't being followed consistently.
