Insurance & Compliance Coordinator (Part‑Time, In‑Office)

Florida Hot Tub & Sauna / The Sauna & Steam Center – Hollywood, FL

Position Summary

Florida Hot Tub & Sauna is seeking a Part‑Time Insurance & Compliance Coordinator to manage all insurance, bonding, and compliance activities related to our construction contracts and subcontractors.

This role requires a minimum of 3 years of construction‑insurance experience, including direct administration of OCIP and CCIP programs, and working knowledge of bonding requirements. The coordinator will ensure full compliance with insurance obligations from major general contractors (Suffolk, Related, Moss, etc.), maintain subcontractor insurance records, support bonding submissions, and help prevent contract or payment delays.

This position is in‑office only, three days per week, and requires daily activity reports summarizing progress, open items, and next steps.

Key Responsibilities

Contract & Insurance Compliance:

Review incoming construction contracts for insurance, bonding, and indemnification requirements.
Compare contract requirements with existing company policies and coordinate with brokers to resolve discrepancies.
Prepare and submit certificates, endorsements, and required insurance documentation.
Administer and track compliance for OCIP/CCIP programs, including payroll reporting and communication with administrators.
Coordinate with project managers and accounting to ensure accurate reporting and alignment.

Subcontractor Insurance Management:

Collect, review, and track subcontractor COIs and endorsements.
Verify coverage levels, expiration dates, and compliance with contract requirements.
Maintain organized, up‑to‑date insurance records and proactively obtain renewals.

Bonding & Surety:

Assist with preparation and submission of performance and payment bonds.
Coordinate with surety and bonding agents to ensure all documentation remains current.

Insurance Administration:

Work with brokers and carriers to obtain competitive quotes for auto, liability, umbrella, and other policies.
Monitor policy renewals and notify management of deadlines or cost changes.
Support claim documentation and loss‑control initiatives as needed.

Reporting & Documentation:

Maintain organized digital and physical records of certificates, endorsements, policies, and bond documents.
Prepare daily activity reports and periodic summary reports for management.

Process & Communication:

Serve as the primary point of contact for brokers, GC compliance departments, and OCIP administrators.
Collaborate with accounting, operations, and project management to prevent delays caused by missing or incorrect insurance documentation.
Identify opportunities to streamline compliance processes.

Qualifications:

Minimum 3 years of construction‑insurance experience, including OCIP/CCIP administration.
Experience with bonding, including performance and payment bond coordination.
Strong understanding of construction contract insurance clauses and compliance requirements.
Highly organized, detail‑oriented, and able to manage multiple deadlines.
Proficient in Microsoft Excel, Word, and Outlook.
Excellent written and verbal communication skills.
Reliable, proactive, and able to work independently with consistent daily reporting.

Work Schedule & Compensation:

In‑Office Only – Hollywood, FL Headquarters
3 Days per Week (Part‑Time)
Hourly Pay: $18–$23, based on experience
Potential to expand to full‑time as company needs grow.

Performance Expectations:

Zero lapses in required insurance or bonding documentation.
Timely responses to GCs and OCIP/CCIP administrators.
Accurate daily reporting of all insurance and compliance activities.
Improved turnaround time for contract execution and payment processing.
