Job Summary:

We are a dynamic and rapidly expanding charter airline company committed to providing exceptional service and safety in air travel. The payroll manager is responsible for overseeing all aspects of payroll administration to ensure accurate and timely processing of multi-state payroll for our employees. This role also supports crew expense reporting and reimbursement through SAP Concur.

This position requires meticulous attention to detail, strong organizational skills, and the ability to work effectively in a fast-paced environment. The payroll manager collaborates with multiple departments to ensure compliance with company policies, government regulations, and industry standards.

Key Responsibilities:

Payroll Processing:

Process bi-weekly payroll for all employees accurately and on time.
Manage the end-to-end payroll processing, including data entry, validation, and reconciliation for 200+ employees.
Ensure accurate accuracy of payroll data (calculation of wages, overtime, bonuses, and deductions), including complex compensation structures for pilots, crew members, and administrative staff.

Compliance and Reporting:

Stay up to date with federal, state, and local payroll tax regulations to ensure compliance. This includes familiarity with FLSA regulations for aviation industry employees.
Prepare and submit required tax filings and reports, such as W-2s and 1099s, adhering to strict deadlines.
Complete applications in multiple states to set up tax ids, ensures proper set up and accurate state tax filings.

Benefits Administration:

Administer employee benefits programs, including health insurance, retirement plans, and other voluntary benefits, liaising with benefits providers and ensuring seamless enrollment and changes.
Ensure accurate deductions and contributions are made in accordance with benefit plan documents and oversee Open Enrollment processes.

Recordkeeping and Documentation:

Maintain accurate and organized payroll records, ensuring confidentiality and security of sensitive information through secure data management systems.
Process and maintain records related to paid time off, sick leave, and other time-related benefits, while ensuring compliance with FAA regulations on crew duty and rest time.

Payroll Systems Management:

Utilize ADP Workforce Now to efficiently process and manage payroll tasks.
Collaborate with team to troubleshoot and resolve any system-related issues, and lead initiatives to streamline processes through automation.

Employee Support:

Address employee inquiries regarding payroll, taxes, and benefits in a timely and professional manner, providing clear and comprehensive information and assistance.
Provide guidance and assistance with completing relevant forms and documents, such as direct deposit forms, tax withholding forms, and benefit enrollment forms.
Collaborate with HR and Accounting departments to resolve payroll-related issues.
Respond to employment verifications.
Support crew SAP Concur expense reporting

Process Improvement:

Proactively identify opportunities to enhance payroll processes and suggest improvements for efficiency and accuracy, leveraging industry best practices.
Collaborate with cross-functional teams, including HR and Accounting, to implement process enhancements and ensure seamless workflow integration.

Audit and Reconciliation:

Conduct regular audits to ensure accuracy of payroll data and compliance with company policies and regulations, participating in external audits as needed.
Reconcile payroll data with general ledger and resolve any discrepancies, maintaining a high degree of accuracy in financial reporting.

Required Skills/Abilities:

Proven experience in a lead payroll position, preferable in the aviation industry.
Excellent attention to detail, organizational skills, and ability to manage confidential information with discretion and integrity.
Exceptional communication and interpersonal skills, with a proven track record of providing outstanding customer service to employees.
Proficient in Microsoft Excel and knowledge of ADP Workforce Now.
Mature self-starter with the ability to work independently with minimal supervision.
Demonstrate highest level integrity, initiative, judgement, high degree of tact and discretion; the ability to maintain strict confidentiality.
Ability to build and maintain strong working relationships with all departments.
Strong understanding of state and federal legislation and regulations, and compliance with payroll as they relate to the airline industry.
Excellent time management skills with an ability to meet deadlines and prioritize tasks.
High level of integrity and discretion when handling confidential information.
Strong problem-solving skills.
Must be flexible and ready for changes.
Ability to work remote hybrid from West Palm Beach, FL.

Education and Experience:

BS/BA in business administration, accounting, finance, or relevant field preferred.
Certified Payroll Professional (CPP) certification preferred.
2-3 years of experience with ADP Workforce Now payroll processing and administration.
2-3 years of experience with multi-state taxes, tax reconciliations, audits, unemployment, garnishments and bonus administration.
Demonstrated knowledge of multi-state payroll.
Proficient in using payroll software/systems and MS Office Suite, with advanced Excel skills for complex data analysis.
Strong understanding of federal, state, and local payroll tax regulations, including knowledge of aviation industry-specific compliance requirements.

Must have a current passport
