Full Job Description

We are looking for a reliable, organized, and computer-savvy Client Document Specialist to join our Deerfield Beach office.

This is an entry-level position and prior bankruptcy or legal experience is not required. We are much more interested in finding someone who is dependable, communicates well, learns quickly, follows instructions carefully, and is comfortable working with documents and our software and CRM systems on a Windows PC.

We will provide approximately 2–3 weeks of hands-on training, followed by ongoing guidance and support.

The primary responsibility of this position is helping clients complete the document-gathering and information-gathering portion of their bankruptcy case before the file is sent to an attorney for final review and preparation.

You will review documents received from clients, organize and process those documents according to our procedures, update information in our CRM system, identify missing information, and communicate with clients by email, text message, and telephone to help them complete outstanding requirements.

This is primarily a computer and client-communication position. There is very little face-to-face interaction with clients.

What You'll Be Doing

Your typical responsibilities will include:

Reviewing documents submitted by clients
Downloading, uploading, organizing, renaming, and processing PDF documents
Determining whether required documents and information have been received
Following established procedures for processing different types of documents
Entering information and updates accurately into our CRM system
Maintaining detailed and accurate case notes
Emailing and texting clients regarding missing documents or information
Calling clients when additional follow-up is needed
Answering basic procedural questions about what documents or information we need
Following up consistently with clients until their document requirements are complete
Identifying issues that should be escalated to another staff member or attorney
Preparing the client's file so it is organized and complete before attorney review
Managing multiple client files and tasks simultaneously

What We're Looking For

You do not need previous bankruptcy experience.

You do need to be someone who:

Is reliable and consistently shows up when expected
Has strong written and verbal communication skills
Pays attention to details
Can follow specific instructions and established procedures
Is willing to learn our systems and the way we process cases
Is comfortable working independently after training
Can stay organized while working on multiple client files
Is comfortable following up with clients repeatedly when information is missing
Has good judgment about when to ask a question or escalate an issue
Is patient and professional when communicating with clients

Computer Skills Are Important

This position requires someone who is genuinely comfortable working on a Windows computer throughout the day.

You should already be comfortable with:

Email and Microsoft Outlook
Working with PDF documents
Downloading and uploading files
Saving, organizing, renaming, and locating computer files
Microsoft Office
Working in multiple browser tabs and windows at the same time
Copying information between different programs and systems
Learning new computer software

Experience with CRM systems is helpful but not required.

Prior office, administrative, document-processing, customer-service, legal, banking, insurance, medical-office, or similar experience is also helpful but not required.

Schedule

This position is approximately 25–35 hours per week.

Our office is open Monday through Friday from 9:00 AM to 5:00 PM.

There is flexibility in establishing your schedule within those hours. We do not require the exact same start and end time every day, but we do expect an agreed-upon, dependable weekly schedule totaling at least approximately 25 hours.

For example, a schedule similar to 10:00 AM–4:00 PM on many days could work well, but we are open to different arrangements for the right person.

This is an in-person position at our Deerfield Beach office and is not a remote position.

Compensation

$23.00–$25.00 per hour, depending on experience and qualifications.

Approximately 25–35 hours per week.

This position is currently intended to be structured as an independent contractor position and does not include employer-provided health insurance or traditional employee benefits.

Training

We don't expect you to know bankruptcy law when you start.

We will provide approximately 2–3 weeks of training covering:

Our document requirements
How different client documents are processed
Our CRM system
Our internal procedures
Client communication
How to identify missing information
When questions should be escalated

Additional training and guidance will continue as needed.

A Good Fit for This Position

This position may be a particularly good fit for someone who wants a consistent daytime schedule of approximately 25–35 hours per week but does not necessarily want or need a traditional 40-hour workweek.

The person who succeeds in this role will probably be someone who enjoys having a clear process to follow, likes keeping things organized, is comfortable working on a computer, and takes satisfaction in getting a file from "incomplete" to "finished."
