JOB DESCRIPTION

Job Title: Clinic Manager

Position Reports to: Site Administrator

DEFINITION OF POSITION:

The Clinic Manager oversees the daily operations of a gastroenterology clinic, coordinating all front office and clinical staff to ensure efficient, complaint, and patient-centered care. This role provides leadership in staff performance evaluations, process improvements, and regulatory adherence, acting as a key liaison between support staff, providers, and the site administrator. The Manager manages operational, staffing, and budgetary functions, supports staff education, and ensures the clinic meets organizational, budgetary, and regulatory standards for quality and safety.

RESPONSIBILITIES:

1. Assists the Site Administrator and other Clinic Managers in implementing approved policies and procedures, especially those associated with scheduling, billing, collections, clinic workflows, clinical quality metrics, and patient satisfaction metrics.

2. Assists the Patient Access Manager in maintaining a collection ratio of 95% of “collectible monies.”

3. Ensure staff have maintained full provider schedules at a minimum of 90% capacity.

4. Routes daily/weekly reports to the Site Administrator.

5. Maintains staff schedules, timecards, and reports.

6. Maintains open communication with IGA departments, referring partners, and staff physicians/providers.

7. Maintains controls and ensures inventory of all general offices and supplies.

8. Maintains adequate staffing levels to support clinic productivity.

9. Practices effective cost containment alongside the Site Administrator.

10. React in a timely manner to resolve patient complaints and/or employee conflict, promoting customer service. Involves the Site Administrator as needed for conflict resolution.

11. Adheres to financial and operational budget.

12. Demonstrates a positive and professional customer service attitude/behavior.

13. Completes all other duties as assigned.

14. Fosters a climate that will assist Idaho Gastroenterology Associates fulfill its mission through quality care and customer service.

QUALIFICATIONS:

Essential knowledge, skills, and abilities needed to succeed.

Certified or Registered Medical Assistant, preferred

Graduate of an accredited business college; in lieu of formal education, high school graduate with a minimum of 2 to 3 years experience in a management level position, preferably in gastroenterology or a similar specialty practice environment.

Working knowledge of medical office operations.

Working knowledge of medical office computer systems such as an EMR, Microsoft office, and other software, as necessary.

Excellent verbal and written communication skills.

Possesses financial management skills, focusing on cost containment, reimbursement, and collection practices.

Ability to prepare monthly financial and clinical reports as requested by the Site Administrator.

Willingness to attend and participate in off-site meetings and/or seminars

Customer service-oriented attitude/behavior

Skill in establishing, defining, assigning, monitoring, and evaluating outcomes of assigned tasks and goals.
