Executive Assistant

About the role

The Executive Assistant provides professional administrative and organizational support to the President and serves as a trusted resource in the day-to-day operation of the business. This position helps manage priorities and competing demands, coordinate information and schedules, maintain accurate records, and ensure important tasks and commitments are handled with care and follow-through.

What you'll do

Provide day-to-day administrative support to the President and assist with managing priorities and competing demands
Manage calendars, appointments, meetings, and related scheduling needs
Coordinate meeting preparation, documentation, action items, and follow-up
Prepare, organize, and maintain correspondence, reports, records, and other business documents
Track deadlines, commitments, and outstanding items to support timely completion
Serve as a professional point of contact for internal and external communications
Maintain organized, accurate, and accessible digital and physical recordsEstablish, maintain, and improve administrative procedures, checklists, and workflowsMaintain order logs, administrative documentation, and other business records
Coordinate office supplies, purchase orders, and routine administrative needsMaintain accurate and confidential documentation and information
Use Microsoft Word, Excel, Outlook, and other business systems effectively
Provide administrative support for purchasing, inventory, ordering, receiving, vendor coordination, equipment, and facility needsMaintain accurate documentation related to vendors, purchasing, inventory, and other operational activities
Assist with deposits, invoices, reporting, reconciliations, and other routine financial administrative processes as assignedIdentify discrepancies, missing information, or potential issues and communicate them promptly
Support established company policies, procedures, and internal controls
Develop a working understanding of the business and how administrative activities support its overall operation
Coordinate information between ownership, management, employees, vendors, clients, and other business contacts
Communicate clearly, professionally, and appropriately across departments and locations
Support a consistent flow of information so that priorities, decisions, and next steps are understood
Build productive working relationships while maintaining appropriate professional boundariesAssist with company projects, events, and special initiatives as assigned
Coordinate schedules, documentation, communications, and follow-up for assigned projects
Help bring organization and structure to new initiatives and changing priorities
Take ownership of assigned responsibilities and follow them through to completion
Assist with general store operations and administrative needs as assigned
Support communication and coordination between departments as needed

Qualifications

Experience supporting legal or confidential business matters, with the ability to maintain confidentiality, exercise sound judgment, and handle sensitive information appropriately
Strong organizational skills and exceptional attention to detail
Excellent written and verbal communication skills and a professional presence
Proficiency with Microsoft Word, Excel, Outlook, and other common business technology
Ability to manage multiple priorities, meet deadlines, and maintain accuracy
Strong judgment, discretion, and ability to handle confidential information appropriately
Ability to work independently, take initiative, and follow assignments through to completion
Strong critical-thinking and problem-solving skills
Ability to provide thoughtful, objective perspective and maintain professionalism in a variety of situations
