Overview
Join our dynamic team as an Office Manager / Bookkeeper, where you'll be the heartbeat of our administrative operations! This energetic role combines overseeing daily office functions with managing financial records, ensuring everything runs smoothly and efficiently. You'll play a vital part in creating a welcoming environment, coordinating schedules, handling vendor relationships, and maintaining accurate bookkeeping. If you thrive in a fast-paced setting, love organizing details, and possess strong communication skills, this position offers an exciting opportunity to make a meaningful impact every day.

Responsibilities

Manage day-to-day office operations, including front desk duties, and greeting visitors with professional phone etiquette.
Coordinate vendor management activities such as ordering supplies, negotiating contracts, and maintaining positive relationships with service providers.
Handle human resources tasks including onboarding new employees, maintaining personnel files, and supporting training & development initiatives.
Perform bookkeeping and accounting functions using QuickBooks or similar software; manage accounts payable/receivable, payroll processing, and budget tracking.
Organize filing systems—both digital and physical—to ensure documents are accessible and compliant with record-keeping standards.

Experience

Proven supervisory experience overseeing office staff or teams in a fast-paced environment.
Strong proficiency with QuickBooks for bookkeeping and payroll processing.
Demonstrated success in event planning and coordinating meetings or company functions.
Excellent organizational skills with the ability to manage multiple priorities simultaneously.
Prior experience in office management within medical or administrative settings is highly desirable.
Effective communication skills to liaise confidently with vendors, team members, clients, and stakeholders.
Familiarity with clerical tasks such as filing, data entry, calendar management, and front desk operations to ensure seamless office functionality.
