Service Center Project SpecialistSupport Mission-Critical Defense Operations While Building Your Career

We are seeking a Service Center Project Specialist to provide administrative, project coordination, financial, and operational support within a fast-paced service center environment.

This is a great opportunity for someone who is organized, dependable, detail-oriented, and ready to take ownership of their work. If you enjoy keeping projects on track, working with customers and internal teams, solving problems, and making sure the details are handled correctly, this could be an excellent fit.

Your military experience in administration, logistics, operations, finance, supply, maintenance coordination, customer support, or project tracking may translate well to this position.

What You’ll Do

As a Service Center Project Specialist, you will help keep projects organized from start to finish. You’ll work closely with service center leadership, finance teams, employees, customers, vendors, and subcontractors to make sure project information is accurate, deadlines are met, and documentation is completed properly.

Your responsibilities will include:

Entering and maintaining accurate billing and project information in ERP and business systems.
Preparing customer invoices and supporting documentation.
Tracking projects from initial setup through final billing and closeout.
Maintaining project records, purchase orders, documentation, and required files.
Tracking project costs, including labor, travel, materials, and parts.
Reviewing project charges for accuracy and proper allocation.
Maintaining project reports related to forecasting, revenue, purchase orders, and invoicing.
Responding to customer and subcontractor requests for information and documentation.
Supporting accounts receivable activities, including invoice follow-up and collection assistance.
Assisting the Service Center Manager and internal teams with day-to-day administrative and operational needs.
Supporting finance teams with reporting, audits, and project documentation.
Reviewing employee timekeeping and expense reports for accuracy and completeness.
Assisting employees with expense reporting, travel coordination, and administrative questions.
Processing vendor invoices and supporting accounts payable activities.
Maintaining office records, correspondence, meeting schedules, files, and supplies.
Handling sensitive business and employee information with confidentiality.
Supporting additional Service Center needs as required.

What We’re Looking For

Associate degree in Business Administration, Accounting, Finance, or a related field preferred; equivalent experience will be considered.
Previous experience in administration, project coordination, customer service, accounting support, office operations, or a related area preferred.
Experience with invoicing, purchase orders, expense reports, billing, or financial documentation is a plus.
Experience supporting manufacturing, industrial, technical service, maintenance, field service, or military operations is a plus.
Basic understanding of accounting principles preferred.
Strong organizational and time-management skills.
Ability to manage multiple priorities and meet deadlines.
Strong attention to detail and accuracy.
Excellent written and verbal communication skills.
Ability to work independently while still being a dependable team player.
Professional, customer-focused approach.
Strong problem-solving skills and willingness to take ownership.
Proficiency with Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
Ability to learn ERP, CRM, and project management systems.
Bilingual English/Spanish skills are highly preferred.
