Accounting & Financial Operations Coordinator (Hybrid) 29.5 hours per week
We are a well-established independent publishing company seeking a detail-oriented, adaptable Accounting & Financial Operations Coordinator to join our team. As a small but active business, our team wears many hats. We publish and sell books globally, manage author relationships and royalty payments, attend industry events and conventions, and handle a steady flow of operational and financial activity. We’re looking for someone who is organized, dependable, tech-savvy, and comfortable balancing multiple priorities with competing deadlines.
This role offers a hybrid work arrangement, combining in-office collaboration with remote flexibility, though candidates should be comfortable working in a busy office environment and supporting time-sensitive financial and administrative processes.
Key Responsibilities
Financial Transactions & Reporting
- Process accounts payable and accounts receivable accurately and in a timely manner
- Manage specialized payment processes, including:
- E-book revenue transactions , Amazon Marketplace payments
- Emailing with Authors, handling author royalty payments/accounts
- Assist with financial reporting and related documentation
- Maintain accurate financial records and support ongoing accounting operations
Payroll & Benefits Administration
- Collaborate on payroll processing and related reconciliations
- Administer 401(k) contribution processing and related coordination
Tax & Regulatory Compliance
- Assist with monthly and quarterly tax filings, including Sales and use tax & Payroll tax filings
- Prepare and coordinate annual reporting forms, including: W-2s 1099s 1042s
- Support foreign resident tax certification documentation and compliance
Banking, Reconciliation & Cash Management
- Monitor daily bank balances and cash activity
- Review and clear Positive Pay exceptions and ACH alerts
- Perform monthly bank reconciliations
- Reconcile corporate credit card activity
- Support general cash management and internal financial controls
Expense Management & Administrative Support
- Process convention, travel, and business expense reimbursements
- Manage per diem administration
- Provide general financial and administrative support as business needs evolve
- Assist with special projects and process improvements
What We’re Looking ForRequired Skills & Experience
- Accounting, bookkeeping, payroll, finance, or related operational experience
- Strong proficiency in Microsoft Excel, proficiency in QuickBooks
- High level of accuracy, organization, and attention to detail
- Ability to manage multiple responsibilities simultaneously while meeting deadlines
- Strong written and verbal communication skills
- Ability to handle confidential financial and employee information professionally

Compensation & Benefits

**Please note: While this is a standard part time 29.5-hour-per-week position, there are several times during the year—particularly around author royalty processing—when additional hours may be required to meet important deadlines. Candidates should be comfortable with occasional increased workload during these peak periods.
