Administrative Assistant & Digital Marketing Coordinator

Department: Administration / Marketing
Reports To: General Manager or Marketing Director
Job Type: Full-Time

Position Summary

We are seeking a highly organized, detail-oriented, and creative Administrative Assistant & Digital Marketing Coordinator to provide administrative support while managing the company's digital marketing initiatives. This role combines front office responsibilities with marketing coordination, requiring excellent communication, organization, customer service, and technical skills. The ideal candidate is comfortable managing multiple priorities in a fast-paced environment while maintaining professionalism and confidentiality.

Proficient in Microsoft Office Suite (Word, Excel, Outlook)
Experience with Google Workspace preferred
Experience with website content management systems (WordPress, Shopify, or similar)
Working knowledge of SEO and Google Analytics
Experience managing social media platforms
Experience with email marketing platforms
Graphic design experience using Canva, Adobe Creative Suite, or similar preferred
Marketing automation experience (HubSpot, Mailchimp, Constant Contact, etc.) preferred

Administrative Responsibilities

Answer incoming telephone calls and greet visitors professionally.
Schedule appointments and maintain calendars.
Prepare work orders for technicians.
Collect customer payments.
Prepare and distribute incoming and outgoing mail.
Perform data entry and maintain accurate company records.
Create, organize, and maintain electronic and paper filing systems.
Assist team members with administrative projects as needed.
Process rebate submissions.
Provide outstanding customer service to customers and employees.

Digital Marketing Responsibilities

Email Marketing

Develop and execute email marketing campaigns.
Create newsletters, promotional emails, automated campaigns, and customer journey workflows.
Build and maintain segmented email lists.
Monitor campaign performance and optimize open rates, click-through rates, and conversions.
Ensure compliance with CAN-SPAM and applicable email marketing regulations.
Collaborate on email content, graphics, and messaging.

Social Media Management

Develop and implement social media strategies.
Create engaging content including graphics, videos, stories, and posts.
Manage the social media content calendar.
Schedule posts across multiple platforms.
Monitor engagement and respond to comments, messages, and reviews.
Analyze performance metrics and recommend improvements.
Maintain consistent brand messaging across all social media channels.

Marketing Support

Create marketing assets for customer retention and lead generation.
Assist with company advertising campaigns.
Coordinate marketing projects and promotions.
Support branding initiatives across digital platforms.
Assist with photography and content collection for marketing materials.

2+ years of administrative support experience.
2+ years of digital marketing experience.
Experience with Microsoft Office Suite.
Experience with website management.
Experience with email marketing software.
Experience managing business social media accounts.
Experience with Canva or Adobe Creative Suite preferred.
Familiarity with Google Analytics and SEO best practices.
