Job Summary

We are seeking a dynamic and organized Front Desk Associate to serve as the welcoming face of our organization. In this vital role, you will manage front office operations, provide exceptional customer service, and ensure smooth administrative workflows. Your proactive approach and excellent communication skills will help create a positive environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management skills while supporting daily business functions with enthusiasm and professionalism.

Responsibilities

Greet visitors, clients, and vendors warmly and professionally, ensuring they feel valued from the moment they arrive
Manage multi-line phone systems, directing calls efficiently and courteously while taking detailed messages as needed
Handle data entry tasks accurately using spreadsheets, Microsoft Office applications, and Google Workspace tools to maintain organized records
Assist with office management duties such as filing, document proofreading, and maintaining supplies to ensure a well-functioning workspace
Support appointment scheduling and calendar management for staff or medical professionals if applicable
Provide customer support by addressing inquiries promptly and professionally via phone or in person
Perform clerical tasks including typing correspondence, managing client communication, and supporting bookkeeping activities with QuickBooks or similar software

Skills

Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and productivity software
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Effective phone communication skills coupled with proper phone etiquette for handling multi-line systems
Bilingual abilities are highly valued to assist diverse client needs and improve overall communication
Prior office experience or administrative experience is preferred to ensure smooth onboarding and performance
Knowledge of data entry procedures, filing systems, proofreading techniques, and calendar management tools
Technical proficiency in office equipment such as printers, scanners, and telephone systems is essential for daily operations
