Full Job Description

Position Summary

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant (EA) to provide comprehensive, high-level administrative support to our executive leadership. The ideal candidate is a master of logistics, an exceptional communicator, and a strategic partner who can anticipate needs, streamline daily operations, and maintain absolute confidentiality.

As the primary point of contact for internal and external stakeholders, you will play a crucial role in maximizing the executive's efficiency and ensuring the smooth execution of corporate initiatives.

Key ResponsibilitiesCalendar & Meeting Management

Strategic Scheduling: Manage complex, rapidly shifting calendars, prioritizing meetings, resolving conflicts, and allocating time for strategic planning.
Meeting Logistics: Coordinate, prepare, and organize executive-level meetings, board presentations, and committee sessions.
Preparation & Briefing: Ensure the executive is fully prepared for all engagements by assembling agendas, briefs, and supporting documentation in advance.

Communication & Relationship Management

Gatekeeping & Liaison: Serve as a professional and welcoming primary point of contact for investors, board members, clients, and internal teams.
Correspondence: Draft, edit, and manage high-level correspondence, email communications, and professional announcements.
Information Flow: Track actionable items from meetings and proactively follow up with team members to ensure deadlines are met.

Travel & Expense Logistics

Travel Coordination: Arrange detailed, multi-stop domestic and international travel itineraries, including flights, lodging, ground transportation, and necessary travel documentation.
Expense Management: Track, compile, and submit precise monthly expense reports and corporate credit card reconciliations.

Project Support & Administration

Document Production: Prepare and polish executive presentations, pitch decks, spreadsheets, and reports.
Ad-Hoc Projects: Support special projects and corporate initiatives as needed, ranging from event planning to cross-functional team coordination.
Data Integrity: Maintain highly organized digital filing systems and handle sensitive, proprietary information with strict confidentiality.

Qualifications & Skills

Experience: 5+ years of experience as an Executive Assistant supporting C-suite executives, ideally in a fast-paced corporate, venture capital, or high-growth environment.
Technical Proficiency: Advanced skills in productivity suites (such as Google Workspace or Microsoft 365), scheduling software, and communication tools (Slack, Zoom, Teams).
Anticipation & Judgment: A proven track record of anticipating executive needs, working autonomously, and making sound decisions under pressure.
Communication: Exceptional verbal and written communication skills with a refined, professional demeanor.
Organization: Laser-sharp attention to detail and unmatched organizational skills, with the ability to manage multiple competing priorities effortlessly.
Discretion: Absolute integrity and demonstrated success handling confidential financial, legal, or strategic business information.
