Full Job Description

The People & Culture Coordinator supports the programs, processes, and employee experiences that help Aqueduct attract, welcome, develop, engage, and retain great people.

As a member of our two-person People & Culture team, you will play a hands-on role across People Operations, employee data and reporting, benefits administration, systems and AI, learning, culture, engagement, and special events. You will help ensure that core People processes run smoothly while identifying opportunities to make them more organized, efficient, data-informed, and employee-friendly.

This is a growth-oriented role for someone who is ambitious, curious, and eager to build a career in People & Culture. You do not need to arrive with deep expertise in every area. You should be comfortable learning quickly, taking ownership of your work, adapting to changing priorities, and using data and technology to solve problems.

You will also help Aqueduct explore new ways to use artificial intelligence within People & Culture, including support of a People & Culture AI agent pilot.

As priorities shift throughout the year, the Coordinator’s time will be concentrated where it is most needed. Accurate and timely employee lifecycle operations will remain the role’s first priority, followed by data and systems support and the coordination of culture, learning, and employee-experience initiatives.

This position reports to the VP of People & Culture and is expected to work onsite in Canton, Massachusetts, one to two days per week, with additional onsite availability for employee events as needed.

Core Responsibilities:

People Operations

Support the day-to-day administration of People & Culture programs, processes, systems, and employee records.
Coordinate onboarding activities from offer acceptance through orientation, including required documentation, system setup, scheduling, welcome communications, and new-hire materials.
Facilitate portions of new-hire orientation and help employees understand Aqueduct’s values, expectations, programs, and ways of working.
Coordinate structured onboarding check-ins, track follow-up items, and identify recurring themes for review with the VP of People & Culture.
Support offboarding activities, including employee communications, documentation, benefits information, equipment coordination, and system-access workflows.
Maintain accurate and complete employee records across People & Culture systems.
Respond to routine employee questions regarding People programs, policies, systems, and processes, escalating more complex matters as appropriate.
Maintain clear process guides, employee resources, checklists, calendars, and standard operating procedures.
Identify opportunities to improve People processes, reduce administrative work, and create a more consistent employee experience.

Culture Stewardship and Employee Experience

Serve as a steward and champion of Aqueduct’s culture, partnering with the VP of People & Culture and organizational leaders to translate company values into consistent behaviors, programs, communications, and employee experiences.
Help embed Aqueduct’s culture across the employee lifecycle, beginning with recruiting and onboarding and continuing through learning, performance, recognition, engagement, internal communications, and offboarding.
Design and facilitate culture-centered onboarding that helps every new employee understand Aqueduct’s history, values, customer commitment, working norms, and personal responsibility for strengthening and passing the AQ Crew culture forward.
Participate in Aqueduct’s bi-weekly Culture Club and coordinate approved activities, communications, and follow-up actions.
Based on Culture Club input and annual Culture & Engagement Survey trends, support programs that strengthen employee connection, collaboration, recognition, wellness, and engagement.
Help plan and coordinate employee events, including the all-company holiday party, summer outing, Culture Club programs, recognition activities, and seasonal events.
Support opportunities to celebrate employee contributions, birthdays, work anniversaries, milestones, and company achievements.
Gather participation data and employee feedback to help improve future programs and experiences.

AI, Systems and Process Improvement

Support the administration of Aqueduct’s People & Culture systems, including the HRIS, ATS, electronic-signature, benefits, and learning platforms.
Learn the functionality of existing systems and help employees and managers navigate routine questions.
Support a People & Culture AI agent pilot by testing use cases, reviewing responses, maintaining approved content, documenting issues, and gathering stakeholder feedback.
Use tools such as ChatGPT, Microsoft Copilot, or similar platforms to improve research, drafting, documentation, reporting, and routine administrative work within Aqueduct’s acceptable-use guidelines.
Help identify practical opportunities to use AI, automation, and employee self-service to improve People processes.
Participate in user testing for new systems, features, workflows, and automations.
Stay curious about emerging People technology and share relevant ideas or platform capabilities with the VP of People & Culture.
Take on increasing responsibility for systems administration and process improvement as platform knowledge and technical confidence grow.

Learning and Enablement

Coordinate employee, manager, compliance, technology, and other organizational training initiatives.
Help launch and administer learning delivered through Aqueduct’s AI-enabled learning platform, including employee access, learning assignments, participation tracking, and routine user support.
Maintain an organizational training calendar and communicate upcoming learning opportunities, deadlines, and expectations.
Track participation, completion, and employee feedback and prepare summaries that help evaluate and improve future programming.
Maintain approved training materials, employee resources, and self-service content.

Benefits and Leave Administration

Support employee benefits enrollment, including new-hire enrollment, annual open enrollment, qualifying life events, employee questions, and coordination with benefits carriers and brokers.
Help employees navigate routine benefits questions and follow up on enrollment or coverage issues.
Maintain accurate benefits records and required documentation.
Support employee leave administration.
Escalate complex benefits, leave, accommodation, or compliance matters as appropriate.
Help prepare benefits communications, guides, reminders, and educational resources for employees.
Develop increasing responsibility for benefits and leave administration as knowledge and experience grow.

People Data and Reporting

Maintain accurate employee and program data across the HRIS, spreadsheets, and other People systems.
Prepare recurring reports related to headcount, turnover, retention, onboarding, benefits, engagement, learning, and other People & Culture priorities.
Use Excel or similar tools to organize information, audit data, identify patterns, and highlight notable trends.
Summarize findings clearly for the VP of People & Culture and, as appropriate, other organizational leaders.
Develop increasing responsibility for interpreting People data and contributing practical recommendations as experience grows.

Required Skills & Qualifications:

Two to four years of relevant experience in People Operations, Human Resources, administrative operations, employee experience, or a related role, with demonstrated growth in responsibility.
A people person who builds deep and meaningful rapport with employees at all levels of the organization.
Genuine interest in growing a career in People & Culture and taking on increasing responsibility over time.
Takes accountability for assigned work, communicates proactively, and reliably follows responsibilities through to completion.
Curious and solutions-oriented, with a willingness to ask questions, research unfamiliar topics, apply feedback, and experiment with better ways of working.
Comfortable with Excel or similar tools, including organizing and auditing data, using formulas and filters, and preparing clear summaries and recurring reports.
Able to review data, identify meaningful patterns, and communicate clear observations.
Regular user of AI tools such as ChatGPT, Microsoft Copilot, or similar platforms, with an interest in applying them responsibly to workplace processes.
Comfortable learning new systems, tools, and processes quickly.
Highly organized and able to manage multiple recurring responsibilities, projects, deadlines, and changing priorities.
Strong attention to detail and commitment to maintaining accurate documentation.
Exercises sound judgment and discretion when handling confidential employee and organizational information.
Comfortable working independently while knowing when to seek input or escalate an issue.
Positive and resilient in a fast-paced environment where priorities may change.
Able to work onsite in Aqueduct’s Canton office one to two days per week and additionally as needed for employee events.

Preferred Qualifications:

Interest in People analytics, HR technology, organizational learning, employee experience, or AI-enabled People Operations.
Experience preparing reports, dashboards, or data summaries using Excel or similar tools.
Experience coordinating employee events, culture programs, engagement initiatives, or recognition activities.
Experience coordinating employee training, administering an LMS or learning platform, tracking participation and completion, or supporting grant-funded workforce-development programs.
Exposure to employee benefits enrollment, qualifying life events, or leave administration.
Experience working in a small, entrepreneurial, technology, professional-services, or fast-growing organization.

Compensation:

The anticipated base salary range for this position is $70,000 to $90,000, based on experience, qualifications, and demonstrated capability across People Operations, analytics, systems, benefits, learning, and employee-experience coordination.

The position is also eligible for an annual incentive opportunity under Aqueduct’s applicable incentive program.
