Full Job Description

Primary Function:

The Data Strategy and Impact Associate plays a critical role in bridging the gap between raw data and strategic decision-making at Hearth. Reporting to and supporting the Associate Director of Data Strategy and Impact, this role helps implement an organization-wide data strategy that aligns with Hearth's mission. The Associate will support overall data management, including data quality, integrity, documentation, reporting and to improve operational efficiency, and demonstrate impact to donors and stakeholders. Working collaboratively across departments, this position helps foster an evidence-based culture, ensuring data optimizes resources and drives fundraising.

Duties and Responsibilities:

Key Responsibilities

1. Strategic Insights and Data Integrity

· Analyze Trends: Support the Associate Director in generating actionable insights and data-driven recommendations for senior management.

· Maintain Quality: Monitor and ensure data integrity and cleanliness for completeness and consistency across all organizational data storage systems.

· Support Frameworks: Help maintain evaluation frameworks and impact measurement frameworks aligned with Hearth's programs under the guidance of leadership.

· Collaborate on Goals: Attend department meetings to integrate data perspectives into day-to-day programming decisions.

· Plan Analyses: Assist staff in defining core questions, designing analysis plans, and executing comprehensive data reviews.

2. Staff Training and Capacity Building

· Champion the Model: Act as an internal advocate for the Hearth logic model, helping staff understand its strategic value.

· Onboard Teams: Deliver training to staff on data entry, evaluation workflows, and logic model principles.

· Connect the Dots: Educate team members on how daily data collection drives the overall organizational mission.

· Develop Materials: Update and create user-friendly training manuals, guides, and ongoing learning tools.

· Provide Support: Serve as the primary point of contact for staff data inquiries and troubleshooting requests.

3. Data Management and Quality Assurance

· Design Tools: Collaborate with business units to create efficient workflows and data collection tools.

· System Administration: Monitor and support timely, accurate data entry into core systems like ETO, Clarity, and billing databases.

· Lead Audits: Organize and facilitate monthly data audit meetings with staff to correct missing or late information.

· Conduct Analysis: Perform qualitative and quantitative data reviews to spot operational trends and issues.

· Verify Billing: Cross-check service billing reports regularly to ensure data reflects actual services delivered.

4. Stakeholder Engagement and Reporting

· Gather Feedback: Administer feedback systems to capture program participants and staff insights for continuous learning.

· Review Dashboards: Engage program teams in monthly dashboard reviews to collect qualitative feedback.

· Manage Surveys: Coordinate the logistics, timeline, and execution of annual participant satisfaction surveys.

· Draft Reports: Help compile monthly, quarterly, and annual impact reports for donors, binders, and policymakers.

· Research Trends: Track emerging best practices in non-profit evaluation to keep Hearth's methods modern.

Education:

Required: Bachelor’s degree in data Analytics, Public Health, Computer Science, or a related field.

Experience:

· Duration: 1–3 years of experience in data analysis, program evaluation, or database management.

· Systems: Hands-on experience using ETO, Clarity, or similar non-profit/human services databases. Hearth will be migrating to PlanStreet in 2027

· Tools: Proficiency with data visualization tools (Tableau, Power BI) or statistical software (Python, R).

· Project Management: Proven track record of managing tasks across multiple timelines and stakeholders.

Skills and Competencies:

· Analytical Thinking: Strong critical thinking skills with the ability to spot trends in messy data.

· Technical Output: Advanced proficiency in Microsoft Excel (VLOOKUP’s, pivot tables, complex formulas).

· Communication: Ability to translate complex data findings into simple language for non-technical staff.

· Organization: Exceptional attention to detail, time management, and ability to meet strict deadlines.

· Collaboration: A proactive, customer-service-oriented mindset that enjoys working closely with diverse teams.

· Data Ethics: Demonstrated understanding of confidentiality, data privacy, and responsible handling of sensitive resident/client information.

Physical Requirements:

Ability to sit, stand, walk, bend, kneel, and reach throughout the workday
Prolonged periods of sitting or desk work
Ability to lift office materials up to 25 lbs (e.g., files, laptops, equipment)
