Full Job Description

Overview

We are seeking an experienced Administrative Services Manager to lead our administrative team and oversee the daily operations of our cemetery office. This position is ideal for a service-oriented professional who enjoys working in a collaborative environment and thrives on managing a variety of administrative responsibilities. The Administrative Services Manager provides exceptional customer service while supporting office operations, human resources, accounting, and records management to help ensure the smooth and efficient operation of the organization. The ideal candidate is professional, dependable, adaptable, and committed to providing compassionate service to the families and community we serve.

Office Hours: Monday - Friday 8:30 - 4:30

* Must be available every 3rd Saturday from 8:30 - 12:30 *

Qualifications

Bachelor's degree required; a degree in accounting, business administration, or a related field is preferred. The successful candidate will demonstrate excellent organizational skills, strong attention to detail, and the ability to effectively manage multiple responsibilities in a professional office environment.

Skills and competencies

Proficiency in Microsoft 365 applications (Word, Excel, Outlook, etc.)
Strong computer skills with the ability to learn new software and cemetery-specific systems
Dependable, self-motivated, and committed to producing consistent, high-quality work
Strong organizational and time management skills
Ability to effectively prioritize and manage multiple responsibilities in a dynamic office environment
Effective written and verbal communication
Excellent customer service and interpersonal skills

Responsibilities

Customer Services & Office Operations:

Manage front office operations and provide exceptional customer service
Answer and direct telephone calls and respond to inquiries
Coordinate scheduling of cemetery services and maintain office calendars
Prepare contracts, correspondence, and other customer-related documents
Scan, organize, and maintain electronic and paper records as well as maintain record retention and filing systems

Administrative Operations:

Maintain accurate cemetery records, including inventory of graves, crypts, and niches
Perform data entry and maintain various office databases
Administer the cemetery floral program
Assist in the preparation of reports, annual reports, and other management documentation
Assist with special projects and administrative initiatives as assigned

Human Resource Administration:

Maintain employee personnel files
Coordinate employee onboarding documentation and recordkeeping
Assist with employee benefits administration and enrollment
Coordinate employee filings and other routine HR administrative functions

Accounting Support:

Provide administrative support for accounting functions, such as performing accounting-related data entry and maintaining supporting documentation and other financial records
Assist management with financial reporting and other accounting projects as assigned

Salary & Benefits

Salary range commensurate with skills and experience: $ 85,000 - $95,000
