Job Overview

We are seeking a dedicated and professional Customer Service Representative to join our dynamic team. In this role, you will serve as the primary point of contact for our clients and customers, providing exceptional support through various communication channels. Your responsibilities will include addressing inquiries, resolving issues efficiently, and ensuring a positive experience for all stakeholders. The ideal candidate will possess strong organizational skills, technical proficiency, and a commitment to delivering outstanding customer service. This position offers an opportunity to contribute to a collaborative environment where client satisfaction is paramount.

Duties

Respond promptly and courteously to customer inquiries via multi-line phone systems and email, ensuring clear and effective communication.
Manage front desk responsibilities, including greeting visitors and handling incoming calls with professional phone etiquette.
Utilize office management tools and productivity software such as Microsoft Office, spreadsheets, and data entry applications to maintain accurate records.
Provide administrative support through filing, proofreading, calendar management, and organizing client information efficiently.
Assist with billing and invoicing processes using QuickBooks or similar accounting software; ensure accuracy in data entry and record keeping.
Support office operations by managing office supplies, coordinating appointments, and maintaining organized filing systems.
Communicate effectively with clients regarding product or service details, troubleshooting issues, and providing timely support.
Maintain high levels of organization and time management to handle multiple tasks simultaneously while meeting deadlines.
Collaborate with team members to improve customer service procedures and enhance overall office productivity.

Requirements

Proven experience in customer service, clerical work, or office management roles; prior office experience is highly desirable.
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), spreadsheets, and data entry tasks.
Familiarity with QuickBooks or similar accounting software for billing and financial record management.
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Strong verbal and written communication skills; bilingual abilities are a plus for diverse client interactions.
Experience operating multi-line phone systems and handling front desk responsibilities.
Demonstrated professionalism in phone etiquette and client communication.
Technical proficiency in using productivity software, filing systems, and calendar management tools.
Ability to work independently as well as part of a team while maintaining a positive attitude.
Previous personal assistant or administrative experience is advantageous but not mandatory.
