About Us

A Private Property Management Corporation is a Boston-based property management company managing a diverse portfolio of residential properties across Massachusetts -- under your personal purview includes 15 condominium associations and 225+ units. We are hands-on, responsive and deeply invested in the communities we serve. We're constantly growing and we need an intrinsically motivated self-starter who can keep up.

The Role

We are looking for an experienced Property Manager to take ownership of a mixed portfolio with a primary focus on condominium association management, supported by rental and commercial property components. **This is not a passive role or has a focus on rentals.** You will be the day-to-day face of this company in handling 360 degrees of stakeholder management: trustees, unit owners, tenants and vendors alike. If you're looking for a remote/WFH job, this isn't it.

Key Responsibilities

Condominium Association Management (Primary Focus)

Serve as the primary point of contact for condominium trustees and unit owners across multiple associations
Attend condominium board meetings -- both in-person and virtually -- multiple times per month
Conduct self-inspections of all buildings within your portfolio every 10 business days
Manage vendor RFP processes, negotiate contracts and oversee capital improvement projects from scope to completion
Develop and manage association budgets, track expenses against actuals and keep associations on track toward their fiscal goals
Prepare job cost analyses and present financial reporting to boards
Actively work to bring underfunded or operationally struggling associations to solvency
Coordinate with ownership on insurance matters affecting associations
Maintain clear, consistent communication with stakeholders -- including frequent calls on maintenance, construction and improvement matters

Rental Property Management

Oversee day-to-day operations for residential properties across Greater Boston (Owned by the aforementioned Condo Trustees)
Conduct regular site inspections and manage unit turnover end-to-end -- inspections, repairs, make-ready and new tenant onboarding
Serve as the primary point of contact for Condo Trustees and their tenants; handle inquiries, complaints and lease enforcement consistently and professionally
Coordinate lease renewals and maintain strong tenant retention

Financial Management

Assist with rent collection and arrears tracking; enforce payment policies
Review and approve vendor invoices; monitor spending against budget
Contribute to property-level financial reporting and annual budgeting across the portfolio

Maintenance & Vendor Coordination

Schedule and supervise maintenance, repairs and capital projects across the portfolio
Maintain reliable relationships with contractors and service providers
Obtain competitive quotes and negotiate pricing to protect client budgets

Compliance & Documentation

Ensure all properties remain compliant with local housing regulations, fair housing laws and general safety codes
Maintain organized records: leases, inspection reports, meeting minutes, vendor contracts
Prepare documentation for legal or insurance purposes as needed

What You Bring

Strict minimum of 5 years of experience in property management, with demonstrated condominium association management experience required (strictly leasing backgrounds will likely not be the right fit)
Strong working knowledge of Massachusetts landlord-tenant law and condominium regulations and the hunger to learn more
Comfortable in board meetings -- you can present clearly, handle pushback professionally and keep trustees focused on the right priorities
Experience with construction and capital improvement projects is a strong plus
Familiarity with property management software (Yardi, AppFolio, Buildium, or similar)
Excellent organizational skills -- you manage multiple properties, competing priorities and nothing falls through the cracks
Reliable vehicle, clean driving record and willingness to travel regularly across Greater Boston and towns in our portfolio (property travel to be reimbursed)
