ABOUT THE OPPORTUNITY
North Shore Pain Management is a growing, physician-owned pain management practice currently operating across Beverly and Woburn, Massachusetts. In Fall 2026, we are opening a third location in Cambridge — and we are looking for an experienced, self-directed senior front desk professional to serve as the Cambridge Office Lead.
This is not a standard front desk role. The Cambridge Office Lead is the on-site anchor for our newest location. You will be the first person our Cambridge patients encounter, the operational point of contact when issues arise, and the individual responsible for ensuring that NSPM’s standards of patient care and office organization are upheld every day. You will be thoroughly trained alongside our existing team at Beverly and Woburn before Cambridge opens, so you will know our systems, culture, and expectations inside out before your first day on your own.

KEY RESPONSIBILITIES
This role has two interconnected areas of responsibility: running an excellent front desk operation at Cambridge, and serving as the on-site operational lead for the office.
Patient Services & Front Desk Operations
- Serve as the primary point of contact for Cambridge patients: check-in, check-out, scheduling, and patient communication
- Manage the Cambridge scheduling queue, ensuring appointments are booked accurately and efficiently across provider schedules
- Verify insurance eligibility and handle authorization queues for procedures, MRI/CT, and other referrals
- Answer patient calls, return messages, and manage EPIC pool messages in a timely manner
- Collect copays, balances, and patient demographics with accuracy and professionalism
- Maintain the Cambridge patient-facing environment: organized, welcoming, and consistent with NSPM standards
- Coordinate directly with the Front Desk Supervisor and Beverly/Woburn team on scheduling, coverage, and protocol questions
Cambridge Office Operations & Point Person Duties
- Serve as the on-site operational contact for the Cambridge office: the first call when something needs to be handled
- Communicate facilities, maintenance, or equipment issues to the appropriate contact (Front Desk Supervisor, building management, or physician partner) promptly
- Manage office supply inventory for Cambridge; flag replenishment needs and coordinate ordering
- Support onboarding of new Cambridge staff: help orient new team members to NSPM systems, protocols, and office layout
- Help implement and uphold NSPM front desk policies and protocols in the Cambridge environment
- Maintain an organized, operationally sound office: manage whiteboard tasks, staff communication boards, and daily workflow logistics
- Serve as the communication bridge between Cambridge and the Beverly/Woburn team — flagging issues, sharing updates, and ensuring alignment
Administrative Support
- Assist with basic administrative tasks specific to the Cambridge office as directed by the Front Desk Supervisor and practice leadership
- Track and communicate provider schedule changes, callouts, or template updates to the appropriate team members
- Support scheduling of representative lunches and other logistical needs for the Cambridge site
- Help maintain accurate records and documentation consistent with NSPM standards
TRAINING & ONBOARDING
We are committed to setting this person up for success. The Cambridge Office Lead will spend a defined period training at our Beverly and Woburn offices prior to the Cambridge opening. During this training period you will:
- Learn EPIC and our full scheduling and authorization workflows alongside our experienced front desk team
- Shadow the Front Desk Supervisor to understand how issues are handled, how coverage is managed, and how NSPM operates across multiple sites
- Build relationships with the physicians, APPs, medical assistants, and administrative staff you will work with daily
- Learn our protocols, documentation standards, patient communication expectations, and escalation procedures inside out
By the time Cambridge opens, you will not be learning on the fly. You will be ready.
QUALIFICATIONS
Required Qualifications
- 3+ years of medical front desk experience in a clinical setting
- Demonstrated experience managing scheduling, insurance verification, and authorization workflows
- EPIC or comparable EHR experience
- Proven ability to work independently and take initiative without constant supervision — this role operates remotely from the main offices
- Strong attention to detail in patient registration, scheduling accuracy, and documentation
- Excellent interpersonal and communication skills with patients, clinical staff, and leadership
- Experience handling a high-volume, fast-paced front desk environment
- Reliable, professional, and punctual — as the Office Lead, you set the standard for the Cambridge team
Preferred / Nice-to-Have
- Prior experience as a lead, senior, or go-to front desk staff member
- Experience in pain management, orthopedics, or a specialty practice
- Familiarity with prior authorization processes for procedures and imaging
- Experience in a multi-site practice
- Comfortable with basic office operations: supply ordering, facilities coordination, onboarding support
- Bilingual a plus
