ABOUT THE ROLE

Reference Real Estate (the Reserve Team at Real Broker) is a top-producing Greater Boston team. We are hiring a licensed Field & Marketing Coordinator to own the on-the-ground side of our listings: getting new properties to market, running the field logistics that keep transactions moving, and capturing the content that markets them.

This is not a desk job with occasional errands. Our East Boston office is your home base, and you are in the field whenever listing work calls for it, driving to properties, meeting vendors, walking listings alongside our agents, and shooting content. If you are licensed, organized, and would rather be out running a listing than parked at a desk all day, this role was built for you.

You will work day to day with our executive operations team, our listing and transaction coordinator, and our team of agents. You own your deliverables.

LISTING INTAKE AND FIELD OPERATIONS

- Prep for listing appointments so our agents walk in ready and carry more listings at once.

- Walk each listing through every stage: when it comes in, when it goes to market, when it goes under contract, at final walk-through prep, and through closing and post-closing.

- Coordinate our sign runner for installs and removals, and manage sign and lockbox inventory.

- Keep tight data records on every sign, lockbox, and property so nothing goes missing.

- Schedule and meet photographers, stagers, cleaners, inspectors, and contractors at the property, and confirm the work meets our standard before you leave.

- Track listing and marketing supplies, and reorder before we run out.

CONTENT AND MARKETING

- Shoot photo and short-form video at listings and around the team, then post it or route it to whoever posts it.

- Own the social posting calendar for listings and coordinate collaborative content across the agent team.

- Build listing marketing pieces in Canva: single-property sites, flyers, just-listed and just-sold cards.

- Organize the photo, video, and asset library so any agent can find a listing's media in seconds.

CLIENT EXPERIENCE AND DATA INTEGRITY

- Run point on new-client and new-listing intake: collect the onboarding forms, confirm the details, and open the file clean.

- Work inside the systems we already run, and keep every record accurate and current across our CRM and transaction tools.

- Coordinate closing gifts and client appreciation deliveries.

- Keep clients informed at the field milestones you touch.

FIELD RUNNER

- Show homes to clients when an agent needs coverage.

- Attend inspections, appraisals, and smoke certificate visits, and represent the listing on site.

- Drop and pick up checks, documents, and packets across the service area.

WHAT WE ARE LOOKING FOR

- Active Massachusetts real estate salesperson license. This is required, not preferred.

- Prior experience in a real estate coordinator, transaction, listing, or field role.

- Reliable vehicle, valid driver's license, and clean driving record. You will be on the road most days.

- Comfort shooting clean photo and video on a phone, and editing in Canva.

- Fluency in Google Workspace and a real estate CRM.

- Able to move and organize signs, lockboxes, and marketing materials around the office, up to 30 pounds.

- Sharp written and verbal communication with clients, vendors, and agents.

NICE TO HAVE

- Experience with MLS PIN (Pinergy) listing entry.

- Follow Up Boss experience.

- A portfolio of real estate photo or video content.

- Familiarity with the Boston, North Shore, and South Shore markets.

SCHEDULE

Full-time, 40 hours a week, Monday through Friday, with a start time around 8:00 to 8:30 AM. Our East Boston office is home base, and you are in the field when listing intake, appointments, and vendor timing call for it. Occasional open house or closing outside standard hours.
