Full Job Description

The Wealth Conservancy is seeking a highly organized, service-oriented professional to support our office operations, client service activities, and financial planning team. This role serves as a key member of the firm's support team, helping ensure that administrative, operational, and client service functions are executed efficiently and consistently.

Working under the leadership of the Operations Manager and Financial Planning Team, this individual will execute a wide range of administrative, operational, client service, and account administration responsibilities. The role is designed for a highly organized team player who enjoys supporting others, managing details, and contributing wherever needed to ensure both the office and client experience operate smoothly.

While the position offers exposure to financial planning and wealth management, its primary focus is administrative execution, operational support, and delivering an exceptional client experience.

Reporting Structure & Supervision

This position reports directly to the Operations Manager and works closely with the firm's Financial Planning Team.
The successful candidate will receive day-to-day direction, priorities, and project assignments from both the Operations & Office Manager and members of the Financial Planning Team.
This role is responsible for executing assigned tasks and coordinating activities that support the firm’s success.
The ability to manage competing priorities and collaborate effectively with multiple team members is essential.

Administrative & Office Operations

Execute day-to-day administrative and office support functions.
Coordinate calendars, meetings, travel arrangements, and scheduling logistics.
Provide reception coverage and hospitality for clients and visitors.
Maintain office supplies, inventory, mail processing, scanning, filing, and document organization.
Prepare conference rooms and meeting spaces before and after client meetings.
Support office events, staff activities, and client hospitality initiatives.
Help maintain a clean, organized, professional, and welcoming office environment, including light cleaning and office upkeep duties.

Client Service & Administrative Support

Coordinate and track client service requests.
Maintain accurate CRM records and client documentation.
Prepare client meeting materials, reports, and presentation packets.
Assist with quarterly reporting and document distribution.

Account Administration & Financial Operations

Support account openings, transfers, and account maintenance requests.
Assist with money movement requests and related documentation.
Track account-related service items and follow-up requirements.

Financial Planning Support

Assist advisors with gathering and organizing client information.
Support preparation of planning documents and meeting agendas.
Attend client meetings as needed and document notes and action items.

Ideal Candidate

The ideal candidate understands that excellent client service is built on strong operational execution. They enjoy being the person who ensures details do not fall through the cracks and are comfortable working under the direction of established operational leadership while supporting financial planners and advisors. They are equally willing to assist with client requests, scheduling, office organization, conference room setup, account paperwork, and other day-to-day tasks that contribute to a well-run office and exceptional client experience.

Pay: $55,000.00 - $60,000.00 per year
