Overview

We are seeking a dynamic and highly organized Office Administrator to join our team!

The office administrator plays a vital, supportive role across all of these areas, and we’re looking for an exceptional individual to step into this position. The ideal candidate is a flexible, resourceful problem-solver with excellent communication skills and a strong attention to detail. They should have a proven track record of success in an administrative role, along with the ability to effectively manage multiple priorities and confidently navigate unexpected challenges.

Responsibilities:

Administrative Support

Answer and direct incoming phone calls professionally and efficiently
Greet visitors, customers, and guests in a professional and welcoming manner
Receive, sort, and distribute incoming mail and packages
Prepare and coordinate outgoing mail and shipments
Perform accurate and timely data entry
Maintain internal databases, track accounts, and assist with the distribution of internal documents
Scan, organize, file, and maintain electronic and physical records
Draft letters, forms, reports, and other business correspondence
Order, organize, and maintain office supplies and equipment

Office Management

Coordinate and oversee day-to-day office operations to ensure an efficient and organized workplace
Manage company calendars, meeting schedules, conference rooms, and related logistics
Coordinate travel arrangements and itineraries as needed
Maintain a clean, organized, and professional office environment
Coordinate office events, meetings, lunches, celebrations, and other company activities
Serve as the primary point of contact for office vendors and service providers
Oversee office equipment, including copiers and postage machines, and coordinate service requests
Maintain vendor information, contracts, insurance certificates, and renewal dates
Organize and maintain corporate records and legal documents
Ensure compliance with document retention policies and procedures

General Responsibilities

Maintain the confidentiality of company and employee information
Identify and implement opportunities to improve administrative processes and office efficiency
Provide administrative support to executives and department managers on special projects
Provide backup administrative support across departments as needed
Support JSOX and internal control documentation by maintaining accurate, organized, and accessible administrative records
Perform other duties and responsibilities as assigned

Required Skills and Qualifications

Demonstrated experience and success in office administration
Excellent written and verbal communication skills
Strong organizational, time-management, and multitasking abilities
Proficiency with Microsoft Office applications, particularly Excel, with the ability and willingness to learn new software and systems
Proven ability to handle confidential company information with discretion and professionalism
High school diploma or equivalent

Preferred Skills and Qualifications

Experience developing and improving internal administrative processes and filing systems
Strong attention to detail and a proactive, solutions-oriented approach

Pay: $52,000.00 - $56,000.00 per year
