Position Overview
We are seeking a mature, motivated, and detail-oriented Assistant Manager to support the daily operations of our salon. This position requires someone who thrives in a fast-paced environment, demonstrates strong organizational and communication skills and is committed to delivering exceptional client experiences. This person must be able to multitask like a pro, keep things running smoothly, and create a welcoming experience for every guest who walks through our doors to join our dynamic team for approximately 24-30 hours per week. You are required to have excellent communication and interpersonal skills and have the ability to adapt to prioritize competing responsibilities. You must have the utmost professionalism, reliability and attention to detail. And, have the ability to thrive in a fast paced, ever changing environment.

The Importance of the Role
The Assistant Manager position is a vital role in ensuring the smooth and successful operation of our salon. Support to the owner and manager is of top importance. This person would oversee all operations of the front desk including scheduling, clear communication with clients, and ordering all salon supplies including all color, back bar supplies, retail supplies, office supplies and any other needed by the salon. The position includes working at the front desk 2-3 days each week. As the first and last point of contact for clients, you are a direct reflection of our brand and play a critical part in shaping each client’s experience. While the quality of service from our stylists influences a client’s decision to return, the front desk interaction can make or break that relationship. A warm, professional, and attentive approach helps build loyalty and trust. Conversely, a lack of professionalism at the front desk can undo even the best service. It also includes back up for the Front Desk Receptionist when they are out sick or on vacation. This role also includes support for our Cosmetology Academy with enrollment, tuition payments and general questions.
This role requires awareness, adaptability, and a strong sense of responsibility for managing the salon, schedule, anticipating needs, and supporting both clients and the stylist team. The Assistant Manager must be able to multitask and take direction from all staff members while keeping priority to the overall wellbeing of the salon and its clients.

Roles and Responsibilities
As the Assistant Manager, you will play a key role in ensuring smooth salon operations and creating unforgettable first and last impressions for our clients. Your responsibilities include:
1. Salon and Academy Operations:
- Assist the owner and manager with all salon and academy business.
2. Purchasing Agent
- Be responsible for ordering all salon supplies from hair color to lightbulbs ensuring a consistent stock is kept in the salon.
- Coordinate with product reps about their product line
- Check in all orders ensuring what was order is what was delivered
- Calculate accounting cost splits on invoices and work with the book keeper at the end of the month to communicate costs.
3. Front Desk:
- Be the front desk receptionist at least 2 days/week
- Be the back up for when the front desk receptionist is out sick or on vacation
4. Client Experience:
- Greet every client warmly and personally.
- Offer a beverage and provide an estimated timeline for when they will meet their stylist.
- Let the client know you will inform their stylist of their arrival.
5. Phone and Communication Management:
- Answer calls professionally with a friendly tone.
- Return voicemails and respond to salon emails throughout the day.
6. Scheduling and Appointments:
- Manage and maintain the daily schedule with accuracy and foresight. Reach out to clients for rescheduling based on stylist requests.
- Prioritize pre-booking to ensure seamless scheduling and reduce last-minute stress.
- Assist clients in booking an appointment. Work as closely as possible to match their timeline with our schedule.
- Clearly communicate service duration expectations
- Proactively reschedule appointments as requested by stylists
- Track and adjust scheduling to maximize availability and efficiency
- Follow up on unconfirmed appointments
- Communicate and enforce salon policies, including the Cancellation Policy
- Resolve scheduling or client concerns with professionalism and care
7. Front Area and Salon Operations:
- Open the salon 15 minutes prior to the first client. Have the salon ready for clients by the time the first client arrives.
- Sanitize high-touch surfaces, and maintain a clean and organized reception space.
- Refill beverage stations and prep the retail area daily.
- Ensure all services are properly closed out and paid for at the end of each day.
- Remain at the salon until the last client has left. Your presence ensures a smooth and professional close to the day and supports both the team and client experience.
- At the end of each day, ensure the salon is prepared for opening the next day. Don’t leave it for the following morning.
8. Social Media and Digital Support:
o Respond promptly to social media inquiries.
o Post fresh social media content daily.
9. Team and Salon Support:
- Do the laundry several times each day.
- Assist with cleaning and disinfecting between clients.
- Maintain cleanliness and organization in the salon, color room and shampoo area.
- Demonstrate basic IT competency to manage scheduling and system updates.
- Run minimal errands as needed

Compensation
- Hourly Rate: $20.00 per hour
- Retail Sales Incentive: Assistant Managers who sell $100 or more in retail products during a two-week payroll period will receive 10% of their total retail sales for that period.
