Job Description:
Western Kentucky University is seeking applicants for the position of Coordinator for the Department of Earth, Environmental, & Atmospheric Sciences (EEAS). EEAS is comprised of 16 full-time faculty members and offers three B.S. undergraduate degrees (Environmental, Earth, & Sustainability Sciences; Disaster Science; Meteorology), three certificates (GIS; Emergency Management Disaster Science (undergraduate and graduate)), and two M.S. degrees (Geoscience; Disaster Science). EEAS maintains more than 200 declared undergraduate majors and averages 20+ undergraduate student employees and 20+ graduate student employees annually.
The Coordinator handles the primary administrative duties of EEAS in the Ogden College of Science and Engineering. The candidate will work closely with the Department Chair to maintain operations of the unit within the college. The position is a 12-month staff appointment. The following duties are customary for this position but are not to be construed as all-inclusive.
- Maintains all administrative filing and budgetary records in order to accurately document various activities within the department, including but not limited to faculty internal and external research grants, managing pro-card activities, and serving as record-keeper for faculty and student travel in accordance with university policy and procedures.

Support the work of the department by overseeing office operations, purchasing equipment and supplies, maintaining an inventory of office supplies, and utilizing the appropriate process to pay for goods or services purchased by the department.

Perform a variety of administrative duties to include word processing, spreadsheet and database management, and schedule preparation and travel arrangements.

Serve as core member of the department to include providing administrative input on policies and procedures relevant to areas or responsibility, attend department meetings, prepare meeting minutes, and provide administrative support to the department by preparing reports, and other documents as requested.

Supervises and coordinates workload of student front office workers and student ambassadors to ensure maximum productivity. Liaison with departmental student ambassadors to ensure the department is represented at recruiting and other campus events.

Work with the Department Chair to develop, input, and maintain the department's schedule of classes. Request rooms and approve incoming room requests daily in Astra, the University's room scheduling system.

Assist department chair with personnel action and compensation reporting and tracking as outlined in university policy and procedures, including assist with the collection of credentials and other required material during hiring searches and graduate assistantship preparation. Enter information to ensure correct faculty, staff, and student compensation.

Assist academic program director/coordinator with student success initiatives and collecting student outcomes data.

Coordinate promotional efforts, including advertising, social media, overseeing department events, communicating with prospective students and scheduling visits, and assisting with the creation of promotional and recruiting materials.
Job Requirements:

Bachelor's degree with a minimum of two years administrative experience.

Excellent organizational skills and attention to detail, strong written and verbal communication, and the ability to manage multiple tasks with minimal supervision.
Additional Information:
Hourly Range: $20.51- $22.56
