Full Job Description

Job Summary

We are seeking an ideal candidate for a highly trained Office Coordinator to join our fast-paced telehealth-only nutrition practice at Dietitians Office. This role is essential to ensuring smooth virtual front-office operations, exceptional patient service, and efficient administrative and scheduling support.

This is a hybrid position, offering the flexibility to work from home 3–4 days per week, depending on training completion, performance, and operational needs. Occasional in-office or on-site attendance may be required for administrative purposes only; however, all patient care is conducted virtually.

Because this role includes remote work, candidates must meet the following requirements:

Must have a reliable personal LAPTOP computer (desktop computers are not permitted for this role) capable of securely running practice management and communication systems
A secure, high-speed internet connection
A private, HIPAA-compliant workspace that ensures confidentiality and prevents unauthorized access to protected health information (PHI)
Strict adherence to HIPAA regulations and all organizational privacy and security policies

Responsibilities

Answer multi-line phone systems with professionalism and efficiency in a virtual healthcare environment
Accurately enter and maintain patient information within electronic systems
Perform phone-based insurance verification and benefits confirmation, and clearly communicate coverage details and patient financial responsibilities
Manage virtual patient scheduling, including new patient intake, appointment coordination (telehealth visits), follow-ups, and re-engagement of no-show patients
Maintain an efficient and optimized provider schedule
Collect co-pays and patient payments electronically with accuracy and professionalism
Navigate multiple software systems simultaneously, including practice management systems and telehealth platforms
Support daily administrative operations in a high-volume telehealth setting

Skills

Experience in medical office coordination or virtual front desk operations
Proficiency in multi-line phone systems and patient communication (virtual setting)
Strong experience with insurance verification and benefits confirmation
Excellent scheduling, follow-up, and patient management skills in telehealth workflows
Experience collecting co-pays and processing payments electronically
Familiarity with practice management systems and telehealth platforms
Strong understanding of medical terminology (nutrition/dietetics experience preferred)
Ability to work in a high-volume, fast-paced telehealth environment
Ability to work independently in a remote setting while collaborating with a team
Strong attention to detail, organization, and time management
Must use a laptop computer (desktop systems not permitted)
Must meet HIPAA-compliance and remote work security requirements

Pay: $17.00 - $20.00 per hour
