Full Job Description

Job Summary

The State Public Housing Senior Administrative Assistant provides administrative, clerical, and basic financial support to the Public Housing Department. Serving as the primary point of contact for residents, applicants, and community partners, the Senior Administrative Assistant maintains accurate records, coordinates office operations, delivers professional customer service, and supports financial processes—including accounts payable, accounts receivable, and rent collections—while ensuring compliance with state housing regulations.

Key Responsibilities

Provide administrative support to housing management staff and department leadership, including answering phones, responding to emails, greeting visitors, and directing inquiries from residents, applicants, and the public.
Prepare, maintain, and organize resident files, applications, leases, and other confidential records.
Assist with processing CHAMP housing applications, eligibility documentation, and waiting list updates.
Schedule appointments, inspections, meetings, and resident interviews.
Prepare correspondence, reports, and spreadsheets, and enter and maintain data in housing management software and databases.
Assist with rent calculations, recertifications, and occupancy paperwork as directed.
Accounts payable: process invoices, verify documentation, and prepare payment requests in accordance with agency procedures.
Accounts receivable: post payments, reconcile tenant accounts, and maintain accurate financial records.
Rent collections: track delinquent accounts, issue notices, process payments, and coordinate with the housing manager on collection efforts.
Process incoming and outgoing mail, maintain office filing systems, order supplies, and track asset inventory.
Ensure compliance with state and agency policies and maintain confidentiality of sensitive resident and agency information.
Perform other administrative duties as assigned.

Qualifications

High school diploma or GED required; associate degree in business administration, public administration, accounting, or a related field preferred.
Two or more years of administrative or clerical experience, preferably in public housing, government, social services, or accounting support.
Experience with basic accounting functions such as accounts payable, accounts receivable, or billing preferred.
Proficiency in Microsoft Office 365 (Word, Excel, and Outlook); experience with housing management software or financial database systems preferred.
Basic knowledge of office administration and accounting principles; familiarity with public housing programs and state regulations preferred.
Strong organizational, time-management, and multitasking skills, with attention to detail and accuracy in financial recordkeeping.
Excellent verbal and written communication and interpersonal skills, with the ability to work professionally with diverse populations.
Ability to maintain confidentiality, prioritize work, meet deadlines, and solve problems while working both independently and as part of a team.

Working Conditions

Primarily an office environment with prolonged periods of sitting and computer use.
Occasional lifting of office supplies and files up to 20 pounds.
May require occasional travel to housing sites or community meetings.

Salary

Salary is commensurate with experience and qualifications and is based on the agency's established pay scale.
