Job Overview

We are seeking a dynamic and friendly Front Desk Associate to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure a smooth and efficient office environment. Your energetic attitude and organizational skills will help create a positive experience for visitors, clients, and team members alike. Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
Handle incoming inquiries via phone, email, or in person, providing accurate information or routing as needed
Maintain organized front desk area, including filing, data entry, and managing office supplies
Schedule appointments, coordinate calendar management, and assist with meeting preparations
Support office management tasks such as processing invoices using QuickBooks or other productivity software
Assist with clerical duties including proofreading documents, updating spreadsheets, and preparing correspondence

Skills

Proven experience in office management or administrative support roles with strong organizational skills
Excellent customer service skills with the ability to communicate clearly and professionally in person and over the phone
Proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry tasks
Technical proficiency with computer literacy; comfortable navigating multiple software platforms including QuickBooks and productivity tools
Bilingual abilities are a plus to effectively serve diverse clients and team members
Strong typing skills with attention to detail for proofreading and document accuracy
Ability to multitask efficiently while maintaining high productivity levels in a fast-paced environment
