Monday - Friday - 8am - 4pm

Requirements:

Qualifications & Experience

Experience in administrative, customer service, sales and office roles
Plumbing, HVAC, or home services experience is a plus (but not required)
Sales support or customer-facing sales experience preferred

Position Summary:

This role is a key part of daily office operations, supporting scheduling, customer communication, and internal coordination to keep the team running efficiently. Core Responsibilities:

Customer Service & Phones

Outbound calling to customers to assist in scheduling and open estimates
Assist managers with scheduling sales appointments
Gather basic job information from customers
Follow up with customers to ensure excellent service and satisfaction

Sales & Office Support

Support the management & sales team with scheduling, follow-ups, and administrative tasks
Help track customer inquiries, estimates, and next steps
Communicate with customers regarding quotes, appointments, and job updates
Assist with documentation, internal coordination, and sub-contractors

Scheduling & Calendar Management

Manage and coordinate calendars for sales, and office staff
Confirm appointments and communicate changes clearly with customers and team members
Maintain accurate scheduling records in our system, specifically for managers and sales team

Administrative Responsibilities

Perform general office duties such as data entry, filing, and record keeping
Maintain organized customer and job records
Assist with email communication and internal office coordination
Support daily operations to keep the office running smoothly
Handle equipment registration for customers
Tag customers in our customer program, to label system types appropriately
Collect and enter purchase orders (PO’s) into our system to track job costing
Handle rebate submissions for qualifying projects and equipment
